Employee Leave Summary (NZ)

The Employee Leave Summary screen lets you review Annual and FBAPS leave taken by pay run, employee and leave type. Each entry describes the employee, the leave and days taken, the applied rate, and any possible leave rates that might apply. The table also contains a Status column highlighting entries for which a higher leave rate may apply. Using the standard grid filtering functionality, you can easily narrow down leave entries that require attention. To rectify leave you can optionally change the rate method applied, or choose to override the rate entirely.

Form Toolbar

The form toolbar includes standard and form-specific buttons. For the list of standard buttons, see Form Toolbar and More Menu. The form-specific buttons are listed below.

View Pay Run Clicking this button moves to the Pay Run Details (MPPP3120) screen, showing the details of the currently selected pay run.

Summary Area

This area contains filters that let you choose the employees to display leave information for.

Element Description
Pay Run ID The pay run for which leave entries are listed.
Employee The employee whose leave entries are listed. This selection is optional.
Leave Type The leave type for which leave entries are listed. This selection is optional.
Pay Run Status The status description of the selected pay run.
Pay Period Start The period start date for the selected pay run.
Pay Period End The period end date for the selected pay run.

Main Table

The main table shows the leave entries processed for an employee.

The table toolbar includes only standard buttons. For the list of standard buttons, see Table Toolbar.

Element Description
Employee ID The employee's unique ID code.
Employee Name The employee's full name. Click on the name to open the Pay Details (MPPP2310) screen, where full details of their pay can be viewed and edited.
Leave Start Date The start date of the leave transaction processed within the selected pay run. This date is distinct from the Holiday Start date which may be different. For annual leave this date is used solely to track when the employee is away from work. For other leave types this date is used to drive both the rate the employee is required to be paid and the when the employee is away from work.
Leave End Date The end date of the leave transaction processed within the selected pay run. The date is not necessarily the last day of leave, but rather describes the end date of the leave portion being processed within the selected pay run. Annual leave may, for instance, run over one or more pay runs, each pay run paying a portion of the leave taken.
Pay Item ID The unique ID code of the pay item used to pay the leave taken.
Leave Type The category of leave being taken, e.g. Sick Leave, Public Holiday, Annual Leave etc.
Quantity The quantity of the leave pay item being paid out.
Unit Type The units that apply to the leave pay item, e.g. Days or Weeks.
Multiplier A value to multiply leave rate by, e.g. for working on a public holiday the employee will receive 1.5x their normal rate, this will display 1.5.
Rate Method The method used to determine the rate used to value leave taken. The method is derived by default from the Rate Method specified for the employee on the Pay Details (MPPP2310) screen.
Rate The rate of the leave pay item as determined by the selected rate method.
Override An indicator describing whether or not the rate has been overridden by the user.
Payment Amount The value of the leave transaction that will be included in this pay run, as calculated from the other fields.
Status Provides warning messages that need attention, e.g. when a rate of pay higher than the applied rate is available.
ADP The Average Daily Pay (ADP) rate as calculated by the solution. This value is calculated whenever possible, regardless of the default Rate method set for the employee. Click on the rate to open the ADP Inspection (MPPP3160) screen. This field is only populated for FBAPS leave transactions.
RDP The Relevant Daily Pay (RDP) rate as calculated by the solution. This value is calculated whenever possible, regardless of the default Rate method set for the employee. Click on the rate to open the RDP Inspection (MPPP3150) screen - this is only available for RDP rates using standard pay. This field is only populated for FBAPS leave transactions.
Agreed FBAPS The Agreed FBAPS rate as specified for the employee on the Pay Details (MPPP2310) screen. This value is displayed whenever possible, regardless of the default Rate method set for the employee. This field is only populated for FBAPS leave transactions.
Scheduled Daily Hours Displays the scheduled hours for the days taken as per Employee scheduling. This field is only populated for FBAPS leave transactions.
Holiday Start Date The Holiday Start Date is the very first day the employee is away for a period of annual leave. This date is used solely to drive the rate the employee is required to be paid for annual leave. Typically if the period of leave fits solely within the one pay period the Holiday Start Date and Leave Start Date will be the same date. There are two scenarios where the dates will not be the same:
  • Annual leave was applied for via ESS and spans multiple pay periods.
  • Annual leave period spans more than one Definition of Week for the employee.
AWE ($) The Average Weekly Earnings (AWE) rate as calculated by the system. This field is only populated for Annual Leave transactions.This value is calculated whenever possible, regardless of the default Rate method set for the employee. Click on the rate to open the AWE Inspection (MPPP3170) screen to view the pays and amounts that contributed to the 52 week formula.
DOW Hours The Definition of Week (DOW) Hours show what genuinely constitutes a working week for the employee. This value is derived from the effective DOW record as specified for the employee on the Pay Details (MPPP2310) screen.
  • If the DOW Method is "Work Calendar", then DOW Hours equals Hours per week from the Work Calendar linked to the employee's pay group.
  • If the DOW Method is "Fixed Hours/Days", then DOW Hours equals Hours per week from the Definition of Week record.
  • If the DOW Method is "Employee Schedule", then DOW Hours equals the sum of hours the employee is expected to work in the calendar week where the Leave Start Date falls, counting from Monday to Sunday.
  • If the DOW Method is "Average over N Weeks", then DOW Hours equals the sum of hours the employee is/was expected to work in the "N" calendar weeks prior to the Holiday Start Date, e.g. if the settings are to average over 6 weeks and the Holiday Start Date was a Wednesday, then go to the Sunday before and count six weeks, sum the expected work hours and then divide by 6.
OWP Standard 8(1) The OWP Standard 8 (1) rate (aka Rate Method 'OWP 8.1') as calculated by the system. This field is only populated for Annual Leave transactions. This value is calculated whenever possible, regardless of the default Rate method set for the employee. There is no rate inspection option for this rate, as it is defined by the pay items "Liable for OWP Std" on the Standard Pay as the Holiday Start Date.
OWP 4 Week Av. ($) The OWP 4 Week Average rate (aka Rate Method 'OWP 8.2') as calculated by the system. This field is only populated for Annual Leave transactions. This value is calculated whenever possible, regardless of the default Rate method set for the employee. Click on the rate to open the OWP 4 Week Inspection (MPPP3180) screen to view the pays and amounts that contributed to the 4 week formula.
OWP Agreed Rate ($) The OWP Agreed Rate ($) rate (aka Rate Method 'OWP 8.3') as specified for the employee on the Pay Details (MPPP2310) screen as at the Holiday Start Date’. This field is only populated for Annual leave transactions. Because it is fixed value at given point in time there is no rate inspection screen associated to this rate.
