Pay Groups

On the Pay Groups form, you can maintain the groups that employees are paid in. Each pay run applies to a single pay group, and therefore all employees who are members of that group. A single employee can belong to multiple pay groups, however.

Form Toolbar

The form toolbar includes only standard buttons. For the list of standard buttons, see Form Toolbar and More Menu.

Pay Group Table

Here you can view existing pay groups and create new ones.

Column Description
Pay Group ID The unique name that identifies the pay group. The name can be up to 15 characters long.
Description The detailed description of the pay group.
Hours Per Day The number of hours employees in this group would normally work in a day. This affects payroll calculations.
Hours Per Pay The number of hours employees in this group would normally work in one pay period. This will depend on the pay frequency, e.g. for a weekly pay group, this value will be the hours per day value multiplied by five.
Hours Per Year The number of hours employees in this group would normally work in a year.
Pay Frequency The frequency that employees in this group will be paid at. Select one of the following options:
  • Weekly
  • Fortnightly
  • 4-Weekly
  • Twice Monthly
  • Monthly
  • Quarterly
  • 6-Monthly
  • Annually
Default Public Holiday Pay Item Select the pay item that will be used by default to pay Public Holidays for this pay group.
Default Public Holiday Worked Pay Item Select the pay item that will be used by default to pay Public Holiday Worked days for this pay group. The pay item you select must have a multiplier of at least 1.5 applied.
Pay Default The default pay status of the employees in this pay group. Select one of the following options:
  • Salaried
  • Waged
  • N/A
Last Pay Period Start Date The Pay Period Start Date of the most recent pay from this group.
Last Pay Period End Date The Pay Period End Date of the most recent pay from this group.
Last Physical Pay Date The Physical Pay Date of the most recent pay from this group.
Active Whether or not the pay group is active. Inactive pay groups will not be availabel for selection.

Employee Table

This table displays all employees who have been assigned to the selected pay group.

Element Description
Employee ID The employee's unique identifier.
Employee Name The employee's name.
Employee Start Date The date when the employee was appointed to their current position.
Status The status of the employee. The following options are available:
  • Active: Indicates that the employee currently works for the company.
  • On Hold: Indicates that the employee account has not yet been activated.
  • Hold Payments: Indicates that payments should be held for some reason.
  • Inactive: Indicates that the employee has finished his or her work for the company.
  • One-Time: Defines the employee as a one-time employee.
Pay Group ID The unique identifier of the selected pay group.
Branch The branch or location of your organization where the employee works.
Department The department the employee works for.
Calendar ID The calendar that describes the work hours of the employee and the time zone the employee works from.
Class ID The employee class that the employee belongs to.
