Form ID: (AM300000)

You use the form to create, modify, and release a material transaction, which contains rows for the materials to be issued on release of the corresponding inventory issue transaction. The materials can be entered directly on this form or populated by using the Materials Wizard (AM300010) form.

When the material transaction is released, the system also creates and releases an inventory issue on the Issues (IN302000) form to update both the production order and the on-hand inventory.

Attention: To reverse a material transaction, you can copy the transaction by clicking Clipboard > Copy on the form toolbar, creating a copy of the transaction you need to reverse, and changing all the quantities to negative in the detail lines of the new transaction. You should not use the Issues form to initiate this reversal because reversing an issue transaction does not cause the reversal of the corresponding material transaction; thus, the production orders specified for the material transaction are not updated.

Insufficient Material Quantity

When a user releases a material transaction, the system typically creates and releases an inventory issue transaction. If there is insufficient item quantity in a warehouse location, the lot, or both, the issue transaction is created but is not released. The system assigns the On Hold status to the material transaction and you cannot update it. The material transaction is also not released, and the system displays an error message. Once you have determined the cause of the error, you can do any of the following to the material transaction:

  • Delete the unneeded line. The system will delete the corresponding line from the inventory issue transaction when you save the material transaction.
  • Add a new line, if required, with the correct information. This will add the line to the corresponding inventory issue transaction when you release the material transaction.
  • Delete the entire material transaction. This will delete the corresponding inventory issue transaction.

Once you update the material transaction, you release it. If it has been released without errors, the inventory issue transaction will be released.

Form Toolbar

The form toolbar includes standard and form-specific buttons and commands. For the list of standard buttons, see Form Toolbar and More Menu. The form-specific commands are listed in the following table.

Attention: If the material transaction has been created for backflushed materials by using the Labor (AM301000) or Move (AM302000) form, that is, the identifier of the labor or move transaction is specified in the Orig. Batch Nbr. box of the Summary area, the material transaction cannot be released or deleted on this form. For this transaction, the Release and Delete buttons are unavailable even if the transaction has the On Hold or Balanced status.
Command Description
Release Initiates the release of the material transaction, which changes the status of the transaction to Released and causes an issue transaction to be created and released on the Issues (IN302000) form.
Wizard Opens the Materials Wizard (AM300010) form to populate this form with the desired materials.

Summary Area

In this area, you can select an existing material transaction by its reference number or provide summary settings for the new transaction.

Element Description
Batch Nbr.

The reference number of the material transaction.

The number is assigned automatically or you enter the number manually, depending on the settings of the numbering sequence specified in the Material Numbering Sequence box on the Production Preferences (AM102000) form.

Status

The status of the transaction set by the system.

The value in this box can be one of the following:

  • On Hold: The transaction is a draft and can be edited. You cannot release the transaction.
  • Balanced: The transaction has been validated by the system and is ready to be released. You can put the transaction on hold to modify or delete it.
  • Released: The transaction has been released. You cannot modify or delete the transaction.
Hold

A check box that indicates (if selected) that the transaction has the On Hold status and can be modified or deleted. When you clear the check box the status is changed to Balanced.

The check box is selected for new transactions automatically if the Hold Documents on Entry check box is selected on the Production Preferences (AM102000) form.

Date

The date when the transaction was created. By default, the system inserts the business date, but you can change this date.

You can enter only a date that corresponds to a financial period that has been generated on the Master Financial Calendar (GL201000) form. If the date that you enter belongs to a financial period that has not yet been generated in the system—for example, for a date in the distant future or past—the system will display an error message, and you will not be able to save the document.

Post Period The financial period to which the transaction amount is posted. By default, the period is calculated based on the date and the defined financial periods in the system, but you can change the period.
Orig. Batch Nbr. Read-only. The reference number of the original transaction that caused the creation of the material transaction (if applicable), which can be a labor transaction created on the Labor (AM301000) form or a move transaction created on the Move (AM302000) form. You can click the link to open the corresponding form and view the details of the original transaction. This box is empty if you enter the material transaction directly on the current form.
Orig. Doc. Type Read-only. The type of the original transaction whose reference number is displayed in the Orig. Batch Nbr. box. The transaction type can be any of the following:
  • Labor
  • Move
Total Qty. The total quantity of the transaction, which is the sum of the values in the Quantity column.
Control Qty.

The control quantity of the transaction. You enter this quantity, and then the system validates whether it is equal to the value of the Total Qty. box. If the quantities differ, an error message is displayed and you cannot release the transaction.

This box is displayed only if the Validate Document Totals on Entry check box is selected on the Production Preferences form.

Total Amount The total amount of the transaction, which is the sum of the values in the Ext. Cost column.
Control Amount

The control amount of the transaction. You enter this amount, and the system makes sure that it is equal to the value of the Total Amount box. If the amounts differ, an error message is displayed and you cannot release the transaction.

This box is displayed only if the Validate Document Totals on Entry check box is selected on the Production Preferences form.

Description A brief description of the material transaction.

Table

This table contains lines for the materials to be issued, along with the corresponding production order and other details of each material.

The table toolbar includes standard buttons and buttons that are specific to this table. For the list of standard buttons, see Table Toolbar. The table-specific buttons are listed below.

Button Description
Line Details Opens the Line Details dialog box, where you can assign warehouse locations and lot or serial numbers to each material line.

Column Description
Order Type The type of the production order that contains an operation for which the specified material is issued.
Production Nbr. The reference number of the production order that contains an operation for which the specified material is issued. A production order is available for selection only if on the Production Order Maintenance (AM201500) form, it has the type selected in the Order Type column and a status of Released, In Process, or Completed.
Operation ID The identifier of the production order operation for which the material is issued. The operations available for selection are those included in the production order selected in this row
Inventory ID The identifier of the material to be issued.
Subitem

The subitem of the material specified in the Inventory ID box.

This column is visible only if the Inventory Subitems feature is enabled on the Enable/Disable Features (CS100000) form.
Important: The Inventory Subitems check box has been removed from the Enable/Disable Features form because the functionality associated with the Inventory Subitems feature will be phased out. If you have this feature enabled in your system, the associated functionality remains available. To disable the feature, contact your MYOB support provider.
Warehouse The warehouse from which the material is issued.
Location The warehouse location from which the material is issued.
Quantity The quantity of the material to be issued. If you need to record movement of the material from the production order back in stock (such as when the material is a by-product), you specify a negative quantity.
UOM The unit of measure used for the material quantity.
Lot/Serial Nbr. The lot or serial number assigned to the material. You can specify a single lot number for all material units, or click the line and then click the Line Details button to select multiple lot or serial numbers.
Expiration Date The expiration date of the material. You must specify the expiration date only when the material has a lot number assigned and the lot class of the number requires an expiration date.
By-product A check box that indicates (if selected) that the material has been identified as a by-product in the production order. If this check box is selected, you record the receipt of a by-product; that is, in this row, the Quantity value should be negative.
Unit Cost

Read-only. The cost of one unit of the material.

The unit cost depends on the item's valuation method as follows:

  • Average or FIFO: The current average cost
  • Specific: The last cost
  • Standard: The standard cost

Ext. Cost Read-only. The extended material cost, which is calculated by the system as the quantity multiplied by the unit cost.
Parent Lot/Serial Nbr.

The lot or serial number of the parent item—that is, the item to be produced. If lot or serial numbers have been preassigned to the parent item on the Production Order Maintenance form, you can select only one of the preassigned lot or serial numbers in this box.

To assign parent lot or serial numbers to multiple material lines, you can use the Line Details dialog box.

By using this dialog box, you can do the following:

  • View how the material quantity is distributed among the warehouse locations
  • Specify the warehouse locations from which the material quantity will be issued
  • View the lot or serial numbers assigned to the material line
  • Assign the lot or serial numbers to the material line if the item used as the material is lot- or serial-tracked
  • View the parent lot or serial numbers assigned to the material line
  • Assign the specific lot or serial number of the production item to which the material is being issued to lot- or serial-tracked materials

This dialog box is available if at least one of the following features is enabled on the Enable/Disable Features form: Multiple Warehouse Locations, Inventory Subitems, or Lot and Serial Tracking.

Important: The Inventory Subitems check box has been removed from the Enable/Disable Features form because the functionality associated with the Inventory Subitems feature will be phased out. If you have this feature enabled in your system, the associated functionality remains available. To disable the feature, contact your MYOB support provider.

The dialog box includes the following elements.

Element Description
Unassigned Qty. The quantity of the inventory item that has no lot or serial numbers assigned.
Quantity to Generate

The quantity of the inventory item for which lot or serial numbers should be generated.

This box appears only if the Lot and Serial Tracking feature is enabled on the Enable/Disable Features form.

Start Lot/Serial Number

The lot or serial number to be used as the start number.

This box appears only if the Lot and Serial Tracking feature is enabled on the Enable/Disable Features form.

Generate

A button that you click to initiate the generation of lot or serial numbers.

This button appears only if the Lot and Serial Tracking feature is enabled on the Enable/Disable Features form.

The dialog box includes a table with the following columns.

The table toolbar includes only standard buttons. For the list of standard buttons, see Table Toolbar.

Subitem

The subitem for the inventory item, if subitems are used in your system.

This column is visible only if the Inventory Subitems feature is enabled on the Enable/Disable Features (CS100000) form.
Important: The Inventory Subitems check box has been removed from the Enable/Disable Features form because the functionality associated with the Inventory Subitems feature will be phased out. If you have this feature enabled in your system, the associated functionality remains available. To disable the feature, contact your MYOB support provider.
Location

The location in the warehouse that is selected in the Warehouse column of the material line in the Material Issues table.

This column is visible only if the Multiple Warehouse Locations feature is enabled on the Enable/Disable Features (CS100000) form.

Lot/Serial Nbr.

The serial number of the unit of the inventory item or the lot number of the specified quantity of inventory item units; you can select the lot or serial number from the serial or lot numbers available for the selected warehouse or warehouse location.

This column is visible only if the Lot and Serial Tracking feature is enabled on the Enable/Disable Features (CS100000) form.

Quantity The quantity of the stock item with the same subitem code, with the same lot or serial number, or in the same warehouse location. If the item is serial-tracked, the system inserts 1, and the value cannot be changed.
UOM The unit of measure (UOM) for the specified quantity of the stock item.
Expiration Date

The expiration date of the specified quantity of the stock item.

This column is visible only if the Lot and Serial Tracking feature is enabled on the Enable/Disable Features (CS100000) form.

Parent Lot/Serial Nbr.

The lot or serial number of the parent item—that is, the item to be produced.

You must assign the parent lot or serial number to the material line in order to release the material transaction if all of the following conditions are met:

  • Both the parent item and the material item are lot- or serial-tracked.
  • The lot or serial number has been preassigned to the item and On Issue is selected in the Require Parent Lot/Serial Number box on the Production Order Maintenance (AM201500) form.

If lot or serial numbers have been preassigned to the parent item on the Production Order Maintenance form, you can select only one of these lot or serial numbers in this box.

This column is visible only if the Lot and Serial Tracking feature is enabled on the Enable/Disable Features (CS100000) form.

The dialog box has the following button.

OK Saves the changes, inserts the value of the Parent Lot/Serial Nbr. column in the column with the same name in the material line of the Material Issues table, and closes the dialog box.
