Run Project Billing

You can use this form to perform billing for projects. Invoices are generated for each project and for each customer involved. For more information about billing settings and procedures, see Project Billing Preparation: General Information.

Important:
The form displays projects to which your user has sufficient access rights.

Form Toolbar

The form toolbar includes standard and form-specific buttons and commands. For the list of standard buttons, see Form Toolbar and More Menu. The form-specific commands are listed in the following table.

Command Description
Process Initiates billing processing for the projects you have selected (using the unlabeled check boxes) in the table.
Process All Initiates billing processing for all the projects listed in the table.

Selection Area

By making specifications in this area, you can select the criteria the system uses to list projects that you can bill. For more information about the conditions that the system uses for selection of the projects to be shown in the table, see Project Billing Preparation: Mass Processing.

Element Description
Invoice Date

The date to be specified on the invoices generated during the billing procedure, which also serves as a cut-off date for the project to be billed. You can enter only a date that corresponds to a financial period that has been generated on the Master Financial Calendar (GL201000) form.

If no Invoice Date is specified, the system uses the following date as the invoice date, depending on the billing period of the projects:

  • On Demand: The current business date
  • Another billing period: The Next Billing Date of the projects

Post Period The financial period for which the invoice transactions will be posted.
Statement Cycle

The statement cycle to which customers to be listed are assigned.

Customer Class

The customer class for which you may want to bill projects. Leave the box blank to view information on all classes.

The list of classes may be limited based on the roles assigned to the user account to which you are signed in if the Customer and Vendor Visibility Restriction feature is enabled on the Enable/Disable Features (CS100000) form. With the feature enabled, the Restrict Visibility To box appears on the General tab of the Customer Classes (AR201000) form. You can select a customer class if one of the following is true:
  • The Restrict Visibility To box is empty for the customer class—that is, the visibility of the customer class is not restricted.
  • A branch, company, or company group is specified in the Restrict Visibility To box for the customer class, and your user account is assigned to the role specified in the Access Role box of the Configuration Settings section of one of the following: the Branch Details tab of Branches (CS102000) form for the branch, or the Company Details tab of the Companies (CS101500) form for the company or a company within the company group.
Customer The customer whose projects you may want to bill. Leave the box blank to see information on all customers of the specified class (or all customers of all classes).
The list of customers available for selection may be limited based on the role or roles assigned to the user account to which you are signed in if the Customer and Vendor Visibility Restriction feature is enabled on the Enable/Disable Features (CS100000) form. In this case, the Restrict Visibility To box appears on the Financial tab of the Customers (AR303000) form. With the feature enabled, a customer is available for selection if one of the following is true:
  • The Restrict Visibility To box is empty for the customer—that is, the customer’s visibility is not restricted.
  • A branch, company, or company group is specified in the Restrict Visibility To box for the customer, and your user account has the role specified in the Access Role box of the Configuration Settings section of one of the following: the Branch Details tab of the Branches (CS102000) form for the branch, or the Company Details tab of the Companies (CS101500) form for the company or a company within the company group.
Project Template The project template associated with the projects to be listed. Leave the box blank to view projects based on all templates.

Table

The table contains the list of projects that are pending billing and are matching any criteria specified in the Selection area. For more information about the conditions that the system uses for selection of the projects to be shown in the table, see Project Billing Preparation: Mass Processing. If multiple billing periods were not billed for the project, you should run the billing process once for each unbilled period.

Column Description
Included An unlabeled check box that you can use to include the project in processing if you click Bill.
Project The project by its identifier.

Description The description provided for the project.
Customer The ID of the customer associated with the project, if any.
Customer Name The name of the customer.
Project Manager The project manager of the project.
Branch The branch specified in the project.

This column is displayed only when the Multibranch Support feature or the Multicompany Support feature is enabled (or both features are enabled) on the Enable/Disable Features (CS100000) form.

From The start date of the billing period that is the first unbilled period for the project.
To The end date of this billing period.
Billing Result The type of the document that will be generated during billing the project (Pro Forma Invoice or AR Invoice).
Last Billing Date The date when the project was last billed.
