Project Transaction Details

Form ID: (PM401000)

On this form, you can view the list of transactions associated with a particular project. You can filter the list of transactions by using selection criteria. For instance, you can display only transactions associated with a specific account group, project task, inventory item, employee, or date—or any combination of these criteria.

Form Toolbar

The form toolbar includes only standard buttons. For the list of standard buttons, see Form Toolbar and More Menu.

Selection Area

You use the elements in this area to select transactions for display in the table.

Element Description
Project The identifier of the project whose transactions you want to view.
Project Task The project task of the project selected in the Project box for which you want to view transactions. If you want to see transactions associated with all the project tasks, leave this box blank.
Account Group The account group for which you want to view transactions. If you want to see transactions associated with all account groups, leave this box blank.
Cost Code

The cost code for which you want to view transactions. If you want to see transactions associated with all cost codes, leave this box blank.

The box is available if the Cost Code feature is enabled on the Enable/Disable Features (CS100000) form.

Inventory ID The inventory item for which you want to view transactions. If you want to see transactions associated with all items, leave this box blank.
Start Date The starting date of the range for which you want to view transactions. If you want to see transactions for all dates, leave this box (and End Date) blank.
End Date The ending date of the range for which you want to view transactions. If you want to see transactions for all dates, leave this box (and Start Date) blank.
Employee The employee for which you want to view transactions. If you want to see transactions associated with all employees, leave this box blank.
Show Only Allocation Transactions A check box that you select to view only allocation transactions; any source transactions are not listed in the table. If you clear this check box, the table displays all transactions, including source transactions and allocation transactions.
Include Unreleased Transactions A check box that you select to view in the table unreleased transactions in addition to released ones. If you clear this check box, the table displays only released transactions.
Account The account for which you want to view transactions. If you want to see transactions associated with all accounts, leave this box blank.
AR Doc. Type The type of the AR document for which you want to view transactions. You select the document type to be able to select the document in the AR Doc. Nbr. box.
AR Doc. Nbr. The AR document for which you want to view transactions. To select the document, you should specify the AR Doc. Type first. If you want to see transactions associated with all AR documents, leave this box blank.
Ref. Number The reference number of the project transaction you want to view.
Tran. ID The identifier of the transaction you want to view.

Table

The table shown on each filter tab contains the list of project transactions that match the criteria of the selected filter tab. The table on each tab has the following columns.

Column Description
Branch The branch in which the transaction was created.
Module The functional area from which this transaction originates.
Ref. Number The reference number of the project transaction.
Project The project associated with the transaction.
Project Task The project task associated with the transaction.
Inventory ID The identifier of the stock or non-stock item associated with the transaction.
Cost Code

The identifier of the cost code associated with the transaction.

The column is available if the Cost Code feature is enabled on the Enable/Disable Features (CS100000) form.

Date The date of the transaction.
Fin. Period The financial period associated with the transaction.
Description The detailed description provided for the transaction.
UOM The unit of measure used for the transaction, such as HOUR or BOX.
Quantity The quantity for the transaction, such as the number of service hours provided to the customer.
Billable Quantity The quantity that is used for billing the customer. For instance, you can bill the customer based on the hours of service that your employees have provided to the customer.
Unit Rate The price of the item or the rate of the service in the transaction currency.
Amount The amount of the transaction in the transaction currency.
Currency

The transaction currency.

This column appears on the form if the Multicurrency Projects feature is enabled on the Enable/Disable Features form.

Project Currency Amount

The amount of the transaction in the project currency.

This column appears on the form if the Multicurrency Projects feature is enabled on the Enable/Disable Features form.

Project Currency

The project currency.

This column appears on the form if the Multicurrency Projects feature is enabled on the Enable/Disable Features form.

Released A check box that indicates (if selected) that the transaction has been released. If the check box is cleared, the transaction has not been released.
Billable A check box that means (if selected) that the transaction is used to calculate the amount that will be charged to the customer. If this check box is not selected, the transaction does not affect the billing for the project.
Billed A check box that indicates (if selected) that billing transactions have been already generated for this transaction. If this check box is cleared, this transaction did not yet spawn billing transactions.
Pro Forma Ref. Nbr. The reference number of the pro forma invoice generated when the transaction was used in billing.
Invoice Ref. Nbr. The reference number of the invoice generated when the transaction was used in billing.
Customer/Vendor The name of the vendor or customer.
Employee The employee associated with the transaction, such as the employee who provided the labor or service to the customer.
Allocated A check box that indicates (if selected) that the transaction has been allocated. If this check box is cleared, no allocation transaction has been yet generated for the transaction.
Orig. Doc. Type The type of the document that spawned the transaction. In other words, this transaction has been generated during the release of a document of the type specified in this column, such as Allocation Time card, Case, Expense Claim, Allocation Reversal, Reversal, Time Card, or Credit Memo.
Orig. Doc. Nbr. The number of the document that spawned the transaction. That is, this transaction has been generated during the release of a document with the number specified in this column.
GL Batch Nbr. The reference number of the batch generated for the transaction in the general ledger.
Debit Account Group The account group of the account to be debited in this transaction.
Debit Account For a released transaction, the account the transaction debited when it was released, and for an unreleased transaction, the account the transaction will debit if it is released.
Debit Subaccount For a released transaction, the subaccount the transaction debited when it was released, and for an unreleased transaction, the subaccount the transaction will debit if it is released.
Credit Account Group The account group of the account to be credited in this transaction.
Credit Account For a released transaction, the account the transaction credited when it was released, and for an unreleased transaction, the account the transaction will credit when it is released.
Credit Subaccount For a released transaction, the subaccount the transaction credited when it was released, and for an unreleased transaction, the subaccount the transaction will credit if it is released.
Earning Type The earning time specified for the transaction to calculate the labor cost.

Multiplier The multiplier to be used with the earning time to calculate the labor cost.

Old Orig. Doc. Nbr.

The value of the Orig. Doc. Nbr. column that the system has filled in MYOB Advanced 2019 R2 or previous versions.

Tran. ID

The identifier of the transaction.

Excluded From Allocation

A check box that indicates (if selected) that the transaction should not be allocated.

This column is hidden by default. You can display this column in the table by using the Column Configuration dialog box. For details, see Adjusting the Table Layout: Process Activity.

Excluded From Balance

A check box that indicates (if selected) that the transaction does not affect the project balance.

Excluded From Billing

A check box that indicates (if selected) that the transaction should not be billed.

This column is hidden by default. You can display this column in the table by using the Column Configuration dialog box. For details, see Adjusting the Table Layout: Process Activity.

Excluded From Billing Reason

The reason the project transaction has been excluded from billing, which can be one of the following options:

  • Written-Off with Credit Memo <Nbr>: The transaction is offset by a credit memo.
  • Reversal of Tran. ID <Nbr>: The transaction is a reversal of another transaction.
  • Result of Credit Memo <Nbr>: The transaction is a result of the release of a credit memo.
  • Result of AR Invoice <Nbr>: The transaction is a result of the release of an AR invoice.
  • Reversed: The transaction has been reversed.
  • Billable with Case <Nbr>: The transaction can be billed or has been already billed through the case billing procedure.
  • WIP Reversed : The transaction is a WIP reversal transaction.

Table Filter Tabs

Each of the default filter tabs listed below has a table whose records may be filtered.

Tab Description
All Records

This tab lists all project transactions that match the specified selection criteria.

Cost Transactions

This tab lists all project transactions that match the specified selection criteria and are related to only account groups of the Expense type.
