Run Allocations by Projects

By using this form, you can allocate all the projects or only selected ones. When you run allocations, MYOB Advanced uses active allocation rules specified for the project tasks of the selected projects.

Form Toolbar

The form toolbar includes standard and form-specific buttons and commands. For the list of standard buttons, see Form Toolbar and More Menu. The form-specific commands are listed in the following table.

Command Description
Allocate Processes the projects you have selected and performs allocation of transaction amounts for all the project tasks that are subject to allocation within these projects.
Allocate All Processes all listed projects and performs allocation of transaction amounts for all the project tasks that are subject to allocation within these projects.

Selection Area

You can use the elements in this area to filter the projects for which you might want to run the allocation procedure.

Element Description
Allocation Rule The rule for which you will view project tasks. If you do not select any rule in this box, the list in the table will include all projects.
Project The project whose project tasks you will view. If you do not select any value here, the list in the table will include all projects.
Customer Class

The customer class for which you want to display data. If you select a value here, the list in the table will include only the active projects for the selected customer class.

The list of classes may be limited based on the roles assigned to the user account to which you are signed in if the Customer and Vendor Visibility Restriction feature is enabled on the Enable/Disable Features (CS100000) form. With the feature enabled, the Restrict Visibility To box appears on the General tab of the Customer Classes (AR201000) form. You can select a customer class if one of the following is true:
  • The Restrict Visibility To box is empty for the customer class—that is, the visibility of the customer class is not restricted.
  • A branch, company, or company group is specified in the Restrict Visibility To box for the customer class, and your user account is assigned to the role specified in the Access Role box of the Configuration Settings section of one of the following: the Branch Details tab of Branches (CS102000) form for the branch, or the Company Details tab of the Companies (CS101500) form for the company or a company within the company group.
Customer

The customer for which you want to display data. If you select a value here, the list in the table will include only the active projects for the selected customer.

The list of customers available for selection may be limited based on the role or roles assigned to the user account to which you are signed in if the Customer and Vendor Visibility Restriction feature is enabled on the Enable/Disable Features (CS100000) form. In this case, the Restrict Visibility To box appears on the Financial tab of the Customers (AR303000) form. With the feature enabled, a customer is available for selection if one of the following is true:
  • The Restrict Visibility To box is empty for the customer—that is, the customer’s visibility is not restricted.
  • A branch, company, or company group is specified in the Restrict Visibility To box for the customer, and your user account has the role specified in the Access Role box of the Configuration Settings section of one of the following: the Branch Details tab of the Branches (CS102000) form for the branch, or the Company Details tab of the Companies (CS101500) form for the company or a company within the company group.
Posting Date The date to assign all the allocation transactions that will be generated when running the allocation procedure.
Date Range Restrictions section
From The start date of the date range for which you want to allocate transactions. The system will allocate only transactions from the date range specified in the Date Range Restrictions section. If you do not select any value here, MYOB Advanced will allocate transactions starting with the oldest allocation transaction in the system.
To The end date of the date range for which you want to allocate transactions. The system will allocate only transactions from the date range specified in the Date Range Restrictions section. If you do not select any value here, MYOB Advanced will allocate transactions up to the last allocation transaction in the system.

Table

The table contains the list of projects matching the criteria you have specified in the Selection area.

The table toolbar includes only standard buttons. For the list of standard buttons, see Table Toolbar.

Column Description
Included An unlabeled check box that you can use to select the project for processing.
Project The identifier of the project.
Description The description of the project.
Allocation Rule Description The allocation rule assigned to the project.
Customer The customer associated with the project.
