Print/Email Project Quotes

On this form, you can print or email multiple project quotes. You can process all quotes listed in the table at once or only the ones you select. Before processing, you can narrow the range of listed quotes by selecting a specific owner, workgroup, or business account.

Form Toolbar

The form toolbar includes standard and form-specific buttons and commands. For the list of standard buttons, see Form Toolbar and More Menu. The form-specific commands are listed in the following table.

Button Description
Process Initiates the selected processing (based on the Action that you select) for the project quotes that you have selected in the table.
Process All Initiates the selected processing (based on the Action that you select) for all project quotes that are listed in the table.

Selection Area

In this area, you can specify the criteria for the project quotes to be displayed in the table below, as well as the action to be applied if you click Process or Process All.

Element Description
Action The action to be taken on the processed project quotes if you click Process or Process All on the form toolbar. The action also determines the quotes that are listed in the table and available for processing. You can select one of the following options:
  • Print: When this option is selected, the system lists (and prints during processing) project quotes.
  • Send: When this option is selected, the system lists (and emails during processing) project quotes whose status is Approved.
Assigned To A box and the Me check box, which you use as follows to select the user whose quotes are listed and available for processing:
  • Select the Me check box to view the project quotes assigned to you. The box will contain your username.
  • Clear the Me check box and select another username to view the project quotes assigned to the user.
  • Clear the check box and leave the box blank to view project quotes assigned to all users of the selected workgroup or all groups.
Workgroup A box and the My check box, which you use as follows to select the workgroup whose project quotes are listed and available for processing:
  • Select the My check box to view the project quotes assigned to your workgroup or to the selected user in the group.
  • Clear the My check box and select another workgroup in the box to display the project quotes assigned to the workgroup or to a particular product manager in the selected group.
  • Clear the check box and leave the box blank to view the project quotes assigned to all workgroups.
Business Account The business account related to the project quotes to be listed in the table. Leave the box blank to view the project quotes related to all business accounts.
Date Range The start and end date of the date range whose project quotes should be listed.
Send Documents in One Email
A check box that indicates (if selected) that the system adds the documents as PDF attachments to a single email to be sent to the customer during processing.
Attention:
  • You can attach up to 100 documents to a single email.
  • If you select more, the system creates multiple emails, each within this limitation.

This check box is available only if Send is selected in the Action box.

Combine into One File
A check box that indicates (if selected) that the system combines the processed documents into a single PDF file and attaches it to the email.
Attention:
  • You can combine up to 100 documents into a single file.
  • If you select more, the system creates multiple emails, each within this limitation.

This check box is available only if Send is selected in the Action box and the Send Documents in One Email check box is selected.

Print with DeviceHub

A check box that indicates (if selected) that when you select a printing action and process project quotes, the system generates the preview and prints all selected quotes by using the DeviceHub tool application.

This check box appears only if the DeviceHub feature is enabled on the Enable/Disable Features (CS100000) form and Print is selected in the Action box.

Define Printer Manually

A check box that indicates (if selected) that you want to specify the printer to be used for printing project quotes. If the check box is cleared, the printer is automatically defined by the system.

This check box appears only if the DeviceHub feature is enabled on the Enable/Disable Features (CS100000) form and Print is selected in the Action box.

Printer

The identifier of the printer to be used for printing project quotes.

This box appears only if the DeviceHub feature is enabled on the Enable/Disable Features (CS100000) form and Print is selected in the Action box. The box is available if the Define Printer Manually check box is selected.

Number of Copies The number of copies of each document to be printed via DeviceHub.

This check box appears only if the DeviceHub feature is enabled on the Enable/Disable Features (CS100000) form and Print is selected in the Action box.

Table

This table lists all the project quotes that match the selection criteria you’ve specified. You can process all listed quotes or only those you select.

Column Description
Included An unlabeled check box that you select to include the project quote in processing if you click Process.
Quote Nbr. The reference number of the project quote.
Opportunity ID The identifier of the opportunity associated with the selected quote.
Primary A check box that indicates (if selected) that the quote is defined as the primary quote for the associated opportunity.
Business Account The business account of the prospect or customer of the associated opportunity.
Status The status of the project quote.
Currency The currency of the project quote.
Total Sales The total estimated sale of the project quote.
Gross Margin Amount The estimated gross margin of the project quote.
Date The date when the project quote was issued.
Branch The branch of your company specified in the project quote.
Project Template

The project template, which is used to populate the project tasks, attributes, and project manager of the project quote.
