Synchronize Cards

Form ID: (CA206000)

You use this form to synchronize new credit cards registered to the Authorize.Net processing center with MYOB Acumatica. When you synchronize cards, customer-specific payment methods are created with the entered data. This form is accessible to only users assigned to the AR Admin or System Administrator role (or both roles).

Note: This form appears in the system if the Integrated Card Processing feature has been enabled on the Enable/Disable Features (CS100000) form.

Form Toolbar

The form toolbar includes standard and form-specific buttons and commands. For the list of standard buttons, see Form Toolbar and More Menu. The form-specific commands are listed in the following table.

Button Description
Load Card Data

Loads data on customer profiles and customer payment profiles in Authorize.Net that are absent in MYOB Acumatica.

When you select a processing center in the Processing Center box and click this button, the system checks the state of the Allow Saving Payment Profiles check box on the Processing Centers (CA205000) form for the processing center. If the Allow Saving Payment Profiles check box is cleared, the system displays an error message and does not load card data. If the check box is selected, the system loads the data, including the customer profile ID and customer ID, that it has found in the selected processing center and that should be matched to a customer in MYOB Acumatica.

When this form is opened again and the same processing center is selected, the table will display the data that had been loaded the last time this button was clicked.

Process

Creates a customer payment method in MYOB Acumatica for each row you have selected (by selecting the Included check box) in the table. The system checks the record of the customer specified in the Customer ID column of the table on this form and the record matched to the payment profile and determines its customer class. For the customer class of this customer, if Never is selected in the Save Payment Profiles box on the Customer Classes (AR201000) form, the system displays an error message and does not save the payment profile.

Customer payment methods can be viewed on the Customer Payment Methods (AR303010) form.

Process All Creates customer payment methods in MYOB Acumatica for all rows in the table. Customer payment methods can be viewed on the Customer Payment Methods (AR303010) form.
Schedules

Opens the Automation Schedules (SM205020) form in a pop-up window, where you configure automatic loading of credit card data from an external processing center, such as Authorize.Net, to MYOB Acumatica.

Set Payment Method Opens the Select Payment Method dialog box, where you select the payment method for which you want to load credit cards or EFT data on the form.

Element Description
Payment Method for EFT The payment method for which you want to load EFT data, which you select from the methods configured for the selected processing center.
Overwrite EFT Values A check box that indicates (if selected) that the values in the Customer ID, Payment Method, and Cash Account columns in the table will be overwritten.
Payment Method for Credit Card The payment method for which you want to load credit cards, which you select from the payment methods configured for the selected processing center.
Overwrite Credit Card Values A check box that indicates (if selected) that the values in the Customer ID, Payment Method, and Cash Account columns in the table will be overwritten.
This dialog box has the following button.
OK Causes the system to process the payment method that you have selected and closes the dialog box.

The system will load the credit cards that have the selected payment method in their settings in MYOB Acumatica when you click Load Card Data.

Summary Area

You use the elements in this area to select the processing center from which you want to load credit cards.

Element Description
Processing Center The processing center from which you want to load credit cards, which you select from the list of processing centers that use the tokenized plug-in.
Load Expired Card Data A check box that indicates (if selected) that all cards will be loaded on the form, including expired cards. When the check box is cleared (the default value), the system loads only cards with an expiration date that is later than the current date.

Table

When data has already been loaded for the first time for the particular processing center that was selected, the table displays unsynchronized lines stored in the system.

The table toolbar includes only standard buttons. For the list of standard buttons, see Table Toolbar.

Column Description
Included An unlabeled check box that you select to include this credit card in processing if you click Process.
Customer ID

The customer ID, which the system fills in by default during the auto-matching process. You can overwrite this value before importing the data by selecting a different customer ID.

The list of values may be limited based on the current user's access role. You can select a customer whose settings permit the use of the branch, company, or company group to which the user's access role is assigned (the Restrict Visibility To box on the Financial tab of the Customers (AR303000) form contains this branch, company or a company within the company group, or is empty).

When you select or change the customer ID in this box, the system opens the Multiple Customer Payment Profiles dialog box. In this dialog box, you can view the customer profile IDs (from the processing center) that can be associated with the selected customer; you select the needed customer profile ID or IDs.

Customer Name The customer name of the customer selected in the Customer ID column.
Payment Method A payment method that is registered for the selected customer in the selected processing center. You can overwrite this value before importing the data.
Cash Account The cash account configured for the selected payment method. You can overwrite this value before importing the data by selecting a cash account that has been configured for the payment method selected in the Payment Method column.
Proc. Center Cust. Profile ID The customer profile ID, as defined in the processing center, for the customer listed in this row.
Proc. Center Cust. ID The customer ID, as defined in the processing center, for the customer listed in this row.
Proc. Center Cust. Descr. The customer description, as defined in the processing center, for the customer listed in this row.
Proc. Center Cust. Email The customer email address, as defined in the processing center, for the customer listed in this row.
Proc. Center Payment Profile ID The payment profile ID, as defined in the processing center, for the customer listed in this row.
Proc. Center Payment Profile First Name The first name of the payment profile, as defined in the processing center, for the customer listed in this row.
Proc. Center Payment Profile Last Name The last name of the payment profile, as defined in the processing center, for the customer listed in this row.
Table 2. Multiple Customer Payment Profiles Dialog BoxIn this dialog box, which is invoked when you select or change a customer ID in the Customer ID column of the table, you can match multiple customer payment profile IDs to the customer selected in the Customer ID column.
Element Description
The Summary area of the dialog box has the following element.
<Customer Name> The name of the customer for which the system has found customer profile IDs in the processing center.
The dialog box also consists of the following columns.
Included An unlabeled check box that you select to match this customer profile ID to the selected customer when you click OK.
Proc. Center Cust. Profile ID The customer profile ID found for the selected customer in the processing center.
Proc. Center Cust. ID The customer ID of the customer in the processing center.
Proc. Center Cust. Descr. The description of the customer in the processing center.
Proc. Center Cust. Email The customer's email address registered in the processing center.
Proc. Center Payment Profile ID The customer's payment profile ID in the processing center.
Proc. Center Payment Profile First Name The first name of the customer registered for the payment profile ID in the processing center.
Proc. Center Payment Profile Last Name The last name of the customer registered for the payment profile ID in the processing center.
This dialog box has the following buttons.
OK

Assigns the selected customer profile ID or IDs to the selected customer (that is, inserts it in the PC Payment Profile ID column of the table for the selected customer) and closes the dialog box.

If multiple customer payment profiles are selected for a customer, they are shown in separate lines in the table. Although they can have the same customer profile IDs in the processing center, they will be saved as separate payment methods in MYOB Acumatica.

Cancel Closes the dialog box without saving any changes.
