AP Aging by Project

You use this report to view outstanding AP documents grouped by projects. The report shows all outstanding AP documents in the system and the document balances on the date specified in the Age as of Date box on this report form. That is, the report shows released AP documents that are still open or were closed later than the specified aging date.
The documents are grouped by project (that is, the project assigned to the AP document) and by vendor, and the documents are broken down by aging periods. The amounts are in the base currency, and the balance of the AP documents is calculated as the difference between the original amount of the documents and the application amounts of the documents that were applied no later than the specified aging date. The balances that are not overdue are displayed in the Current column of the report. The overdue balances are broken down by days past due, based on the aging periods.
Report-Specific Parameters
On the Report Parameters tab, you use the following parameters to select the information to be displayed on the report:
- Report Format: The format of the report.
Select one of the following options:
- Summary: To view outstanding vendor balances as a total
- Detailed (default): To view outstanding vendor documents and balances
- Detailed with Retainage:
To view
past due documents and their unreleased retainage on the selected aging
dateNote: This format is available only if the Retainage Support feature is enabled on the Enable/Disable Features (CS100000) form.
- Company/Branch: The company,
branch, or company group for which you want to view information. By default, the current
company or branch is selected. You can select another branch, company, or company group
to which you have access or leave the box blank to view information about all companies
in the tenant.
This parameter is required if the Multiple Base Currencies feature is enabled on the Enable/Disable Features (CS100000) form.
- Project: The project whose documents will be included in the report. Either select a project from the list or leave the box blank to view information for all projects.
- Project Manager: The employee who is responsible for the implementation of the project whose documents will be included in the report. Either select a project manager from the list or leave the box blank to view information for all project managers. You do not have to specify the parameter; if the box is left blank, the report shows the documents or balances associated with all the projects (including projects for which no project manager is specified).
- Vendor Class: The vendor class for
which past due balances will be listed. Select a vendor class from the list of vendor
classes, or make no selection to view information about all classes.If the Customer and Vendor Visibility Restriction feature is enabled on the Enable/Disable Features (CS100000) form, the list of vendor classes available for selection may be limited based on the roles assigned to the user account to which you are signed in. In this case, the Restrict Visibility To box appears on the General tab of the Vendor Classes (AP201000) form. With the feature enabled, a vendor class is available for selection if one of the following is true:
- The Restrict Visibility To box is empty for the vendor class—that is, the vendor class’s visibility is not restricted.
- A branch, company, or company group is specified in the Restrict Visibility To box for the vendor class, and your user account is assigned to the role specified in the Access Role box of the Configuration Settings section of one of the following: the Branch Details tab of the Branches (CS102000) form for the branch, or the Company Details tab of the Companies (CS101500) form for the company or a company within the company group.
- Vendor: The vendor the report will
cover. Select a vendor from the list of active vendors, or make no selection to view
information about all vendors.The list of vendors available for selection may be limited based on the role or roles assigned to the user account to which you are signed in if the Customer and Vendor Visibility Restriction feature is enabled on the Enable/Disable Features (CS100000) form. In this case, the Restrict Visibility To box appears on the Financial tab of the Vendors (AP303000) form. With the feature enabled, a vendor is available for selection if one of the following is true:
- The Restrict Visibility To box is empty for the vendor—that is, the vendor’s visibility is not restricted.
- A branch, company, or a company group is specified in the Restrict Visibility To box for the vendor, and your user account has the role specified in the Access Role box of the Configuration Settings section of one of the following: the Branch Details tab of the Branches (CS102000) form for the selected branch, or the Company Details tab of the Companies (CS101500) form for the selected company or a company within the company group.
- Age as of Date: The date the system
will use when calculating the balances of the documents and the aging categories for the
documents.
By default, the current date is used, but you can select another date.
Note: If some documents do not have a due date specified, the system sets the due date for these documents to the Age as of Date value. The balances of these documents are included in the Current column of the report.
Documents That Cannot Be Aged by Project
In MYOB Acumatica, some documents cannot be grouped under a specific project for reasons described in this section.
When creating a bill on the Bills and Adjustments (AP301000) form, a user can select the Pay by Line check box, which indicates that for the selected document, payments can be applied to individual document lines. If the check box is cleared, payments can be applied only to the outstanding balance of the entire document.
If the user clears the Pay by Line check box on the Bills and Adjustments form when entering the bill and all the lines of the document have a single project code, in report, the documents can be grouped under a particular project.
However, the documents will be displayed under the Project X in report, and a warning message indicating that the documents cannot be aged by project appears in the footer of the report if the Pay by Line check box is cleared for these documents and the documents meet either of the following criteria:
- The documents are associated with multiple projects.
- The documents have the Under Reclassification status.
