Restrict Personal Data

This form is available only if the GDPR Compliance Tools feature is enabled on the Enable/Disable Features (CS100000) form.

By using this form, you can restrict the processing of personal data for individuals whose consent has expired or has been revoked. The restricted data becomes unavailable for further processing; however, this data remains stored in the database and can be restored at any time on the Restricted Personal Data (GD102030) form. Records with pseudonymized personal data are not shown on generic inquiry forms.

Form Toolbar

The form toolbar includes standard and form-specific buttons and commands. For the list of standard buttons, see Form Toolbar and More Menu. The form-specific commands are listed in the following table.

Button Description
Pseudonymize Obfuscates the personal data contained in the selected records (that is, those records in the table for which you have selected the unlabeled check box).
Pseudonymize All Obfuscates the personal data contained in all records listed in the table.

Selection Area

You use the elements in this area to filter the records listed in the table.

Element Description
Search Searches the records listed on this form that have the entered characters in their data and displays the list of the found records in the table.
Master Entity

The master entity whose contacts are to be displayed in the table. The following options are available:

  • Contact: Only contacts related to contact records, leads, business accounts, and employees are to be displayed in the table.
  • Opportunity: Only contacts that override default opportunity contacts are to be displayed in the table. For more information about opportunity-related contacts, see Opportunities: General Information.
No Consent A check box that indicates (if selected) that the records related to individuals who have not given their consent for the processing of their personal data are to be displayed in the table.
Consent Expired A check box that indicates (if selected) that the records related to individuals whose consent for the processing of their personal data has expired are to be displayed in the table.

Column Description
Included An unlabeled check box that indicates (if selected) that the personal data contained in the record will be obfuscated when you click Pseudonymize on the form toolbar.
Deleted A check box that indicates (if selected) that the record has been deleted from the system. Deleted records may be stored in the database to preserve data consistency in financial documents, and the personal data contained in these records may also need to be obfuscated.
Contact ID The system identifier of the contact record.
Master Entity Type The type of the entity to which the contact record is related. The following options are available: Contact, Business Account, Employee, Lead, and Opportunity.
Business Account The business account associated with the contact.
Display Name The display name of the contact.
Middle Name The middle name of the contact.
Last Name The last name of the contact.
Full Name The business name of the company to which the contact belongs.
Email The email address of the contact.
Phone 1 The primary phone number of the contact.
