Space Usage

You can use this form to view statistics on the use of database space by your MYOB Advanced instance. You may need to view these statistics because your license for MYOB Advanced includes a limit on the database space that your instance can use.

Note: The statistics of using database space, which is displayed on this form, does not include data related to the System tenant.

Initially, the form displays the statistics calculated most recently and the date and time when they were calculated. To view the current statistics, you click Calculate Used Space on the form toolbar.

Form Toolbar

The form toolbar includes standard and form-specific buttons and commands. For the list of standard buttons, see Form Toolbar and More Menu. The form-specific commands are listed in the following table.

Button Description
Calculate Used Space Calculates the space used by the data of your instance in the MYOB Advanced database. The newly calculated data is displayed on the form.

Summary Area

In this area, you can view general information about the database space usage of the current instance.

Element Description
Last Calculated The date and time when the database space used by the data of your instance was last calculated. If the box is empty, the space has never been calculated.
Used Database Space: Total The space in the MYOB Advanced database used by all tenants and all snapshots in your MYOB Advanced instance.
Used Database Space: By Tenants The space in the MYOB Advanced database used by all tenants that have been created in your instance.
Used Database Space: By Snapshots The space in the MYOB Advanced database used by all snapshots stored in the system.
Free Space The space in the MYOB Advanced database available for your instance for data storage.
Database Space Limit The limit for the database space that can be used by your instance to store data for companies and snapshots. The limit is specified either in your MYOB Advanced license or in the web.config file.
Current Status The status of the database space usage with regard to the limit. The system sets the status of the database space usage to one of the following:
  • Database space limit is not set: The limit for the database space has not been set in your license or in the web.config file.
  • OK: The limit has been set, and the used space does not exceed the limit
  • Database space limit is exceeded: The limit has been set, and the used space exceeds the limit

Tenants Tab

On this tab, you can view the space used in the MYOB Advanced database by each tenant that has been created in your instance.

Table 1. Table Toolbar

The table toolbar includes standard buttons and buttons that are specific to this table. For the list of standard buttons, see Table Toolbar. The table-specific buttons are listed below.

Current

A check box that indicates (if selected) that you are signed in to the tenant.

Tenant ID

The tenant identifier, which was generated automatically by the system when the tenant was created.

Tenant Name

The tenant name that is used on the site map.

Login Name

The name of the tenant that is displayed in the info area (in a multitenant system) and on the Sign-In page.

Status The status of the tenant. The system sets the tenant status to one of the following:
  • Active: A live tenant that has been used in production
  • Test Tenant: A test tenant that has been used for testing application features and for training purposes. The system applies this status to a tenant automatically when it is used in the trial version of MYOB Advanced.
  • Unlicensed: A tenant that was created after the license limit for tenants was reached. You cannot work with this tenant in the system.
Size in DB (MB)

The size of the data, in megabytes, used by the tenant in the MYOB Advanced database.

In this dialog box, which you open by clicking the View Tables button on the Tenants tab, you can view the list of tables that contain data for the selected tenant and the space that this data takes in the database.

The table toolbar includes only standard buttons. For the list of standard buttons, see Table Toolbar.

Tenant Name The name of the tenant selected in the Tenants table.
Size in DB (MB)

The size of the data, in megabytes, used by the tenant in the MYOB Advanced database.

Table Columns
Table Name

The name of the table in the MYOB Advanced database.

Record Quantity The quantity of records related to the selected tenant that are included in the table.
Size in DB (MB)

The size of the table in the MYOB Advanced database.

Note: The size is calculated for only data related to the selected tenant.

Snapshots Tab

On this tab, you can view the list of snapshots created in the system and the space each snapshot takes in the MYOB Advanced database.

Column Description
Name The name of the snapshot.
Description The description of the snapshot, which was specified during the creation of the snapshot.
Created The date and time when the snapshot was created.
Export Mode The export mode that was selected when the snapshot was created.
Size in DB (MB)

The size of the data, in megabytes, used by the snapshot in the MYOB Advanced database.

In this dialog box, which you open by clicking the View Tables button on the Snapshots tab, you can view the list of tables that contain data for the selected snapshot and the space that this data takes in the database.

The size of the data, in megabytes, used by the snapshot in the MYOB Advanced database.

Table Columns
Table Name

The name of the table in the MYOB Advanced database.

Record Quantity The quantity of records related to the selected snapshot that are included in the table.
Size in DB (MB)

The size of the table in the MYOB Advanced database.

Attention: The size is calculated for only data related to the selected snapshot and the size of indexes.

On this tab, you can view the list of tables with data related to all tenants and snapshots in your instance and the size of each table in the MYOB Advanced database.

The size of the table in the MYOB Advanced database calculated for all snapshots and tenants that include this table.

Table Columns
Type The type of object that includes the table. The value can be one of the following:
  • Snapshot
  • Tenant
Name The name of the snapshot or tenant.
Record Quantity The quantity of records in the selected table, which the tenant or snapshot contains.
Size in DB (MB) The size of the table in the MYOB Advanced database for the tenant or snapshot.
