Archive Documents

Form ID: (SM500400)

On this form, you can review the list of dates and the number of documents that are ready to be archived. You can run the archival process for all documents listed in the table or select documents in the list to be archived. You can also change the default duration of the archival process, if needed.

Form Toolbar

The form toolbar includes standard and form-specific buttons. For the list of standard buttons, see Form Toolbar and More Menu. The form-specific buttons are listed in the following table.

Button Description
Process Initiates the archival process of the documents that you have selected in the table.
Process All Initiates the archival process of all listed documents.

Selection Area

In this area, you can change the default duration of the archival process that has been initially specified on the Archival Policy (SM200400) form.

Element Description
Archiving Process Duration (Hours) The maximum duration time (in hours) of the archival process. By default, the system inserts the default value that has been specified on the Archival Policy form. You can override the default value on the current form.

Table

On this table, you can review and select the documents to be archived. Each row groups the documents that are ready to be archived on the listed date.

Column Description
Selected A check box that you select to include the documents on this date in the archival process when you click Process.
Ready-to-Archive Date The date in the range of the dates that exceed the retention period specified on the Archival Policy (SM200400) form, which have documents that are eligible to be archived.
All Documents The number of documents on the date of the current row that are ready to be archived.
Shipment The number of documents of the Shipment type that are ready to be archived on the date of the current row. This value is also a link that you can click to view the batch of documents of the specific type for the date.

This column appears on the form only if the row with the Shipment entity type is added to the table on the Archival Policy (SM200400) form.

Sales Order The number of documents of the SO - Sales Order type that are ready to be archived on the date of the current row. This value is also a link that you can click to view the batch of documents of the specific type for the date.
