Record Audit History

On this form, you can see the audit trail of a record you’ve selected on a specific form. The form title includes the following:

  • The name of the source form—that is, the form from which you opened the current form.
  • Key values of the record for which information is displayed. For example, it might show the specific record or document being audited, its type, and its ID or reference number.

This form is available if the source form has auditing enabled for it—that is, if the Active check box is selected for it on the Audit (SM205510) form.

You open the current form by clicking Settings > Audit History on the form title bar of the source form.

Tip: You assign access rights for this form on the Access Rights by Screen (SM201020) form.

Form Toolbar

The form toolbar includes the buttons described below.

Button Description
Audit History by Screen

Opens the Audit History by Screen (SM205530) form, where you can view the audit trail of any audited form.

You can use this button to view all changes if the limit of 1000 history records has been reached for each source form. (The system displays a warning about the limit under the Summary area of the form.)

Summary Area

This area contains the basic settings of the record selected on the source form. All elements are read-only.

Element Description
Created By

The user who created the selected record.

Created Through

The ID of the form used to create the selected record.

Created On

The date and time when the selected record was created.

Last Modified By

The user who made the last modifications to the selected record.

Last Modified Through

The ID of the last form used to modify the selected record.

Last Modified On

The date and time of the last modification to the selected record.

The Summary area also has the following buttons.
Expand All

Expands the details of modifications made on the form. By default, all details are collapsed.

For each history record, the changes to the record and its lines are shown

Collapse All

Hide all the modification details.

For each history record, only the date, screen ID, and user are shown.

History Records

For each history record, the following information is shown.

Element Description
Date

The date when a user has made changes to the record associated with the source form and clicked Save.

Screen ID

The ID of the source form.

User

The username of the user who modified the record.

Table with details

The columns in this table depend on the source form and the elements that have been modified. The columns are listed for only the elements for which auditing is enabled. Modifications of detail lines are displayed in a separate table.

The table is shown only if the corresponding history record is expanded.
