You use this form to license your instances of MYOB Advanced and MYOB Advanced Customer Portal. You can license your instance either online by using a licensing key or offline by using a license file. After you license the instance, you can activate it.

MYOB Advanced Customer Portal instance and standard MYOB Advanced instance use different types of license.

Note: To manage the licensing of your Customer Portal instance, you sign in to Customer Portal with a user account that has the Administrator or Portal Admin role, and you open this form in the Configuration suite.

Form Toolbar

The form toolbar includes standard and form-specific buttons and commands. For the list of standard buttons, see Form Toolbar and More Menu. The form-specific commands are listed in the following table.

Button Description
Enter License Key Opens the Activate New License dialog box, which you can use to license the MYOB Advanced instance online. When prompted, enter the license key you have obtained from your sales representative, and then click OK. The system contacts the licensing server and validates the key.
CAUTION: Before attempting to activate your instance, make sure that the computer running your MYOB Advanced instance has access to the Internet and has port 443 opened (if a firewall is enabled).

Once the license key you have entered has been validated and the status of the license is changed to Valid, click Apply License on the form toolbar.

Upload License File Opens the Upload New License File dialog box, which you can use to license the MYOB Advanced instance offline. You will be prompted to import the license file you have obtained from your sales representative. Once you have imported the license file, click Apply License on the form toolbar; access to the Internet is not required for this action.
Apply License Activates the current instance.

This button appears only after you have entered and validated a license key or uploaded a license file.

Update License Updates the settings of the current license online.

This button is displayed only when a license is active.

CAUTION: Before you attempt to update your license, make sure that the computer running your MYOB Advanced instance has access to the Internet and has port 443 opened (if a firewall is enabled).
Delete License Deactivates the current license.

This button is displayed only when a license is active.

Summary Area

This area displays the status and the general terms of the license.

Element Description
Installation ID The system's unique Installation ID number, required when generating licence files for the site.
Status The current status of your MYOB Advanced license. In this box, the system displays one of the following values:
  • Invalid: The instance is not licensed and is running in trial mode.
  • Valid: The instance is licensed and has been activated.
  • Expires Soon: The license will expire soon. The number of days before expiration, when this status starts to display, depends on your license settings.
  • Expired: The license and the grace period have both expired, and the instance is running in trial mode.
  • Rejected: The activation of the current instance was canceled because the number of activated instances exceeded the maximum number of instances permitted by the license.
  • Grace Period: The license has expired, but during this time, you can use the instance. The grace period depends on your license settings.
Valid From The date from which the license is valid.
Valid To The date when the license expires.
Number of Processors

The number of processors allowed by the license.

This parameter is displayed if your MYOB Advanced instance is installed on premises or in a private cloud with a license of a legacy type.

Edition The edition of MYOB Advanced you are currently licensed for.
Billing State

The billing status of the MYOB Advanced instance. The following options are available:

  • Active: An active, fully paid instance with no expected restrictions.
  • Arrears: An instance that is in arrears where a payment has been missed.
  • Readonly: A site that is inactive and is in read-only mode.
  • LockOut: A site that is in lock-out mode. Only an MYOB system admin can log in to the site.
Version The version of the MYOB Advanced instance for which the license was issued.
Number of Users The number of users allowed by the license.
Number of Tenants The number of tenants allowed by the license.
Next Billing Date The date on which your next billing cycle is due.
Billing Contact This dropdown contains all users who have been assigned a licence of any type.When the selected user logs in, notification messages will appear to them if the system has exceeded the Next Billing Date.

Licensed Features

The table includes the lists of features available in MYOB Advanced, along with check boxes that indicate, if selected, the features that are activated. You can enable or disable the activated features by using the Enable/Disable Features (CS100000) form.

Activated A check box indicating whether the feature is covered by the current license.
Feature

The name of the feature.

Entitlements

The table shows how many of each user Licence Type has been used, as well as other licence-based entitlements such as the number of campaign emails sent or the number of users allowed access to the Customer Portal.

Note: If the Storage Space entitlement is near or above its limit, warning messages will appear on this form. If the entitlement is exceeded, warning messages will also appear on the footer bar of all screens. Warning messages only appear to users with the "Full User" licence type.

Name Read-only. The name of the licensed feature.
Description Read-only. The description of the feature.
Limit Read-only. The limit on the usage of the feature, as determined by your licence.
Usage Read-only. The current usage of the licence; this cannot exceed the limit.
Available Read-only. A check box indicating whether the feature is covered by the current license.
