Wiki Access by Role

You can use this form to set up the access rights that roles have to wiki articles. You can configure access rights to wikis at the individual article level, based on what (if anything) you want to permit users with the role to do.

Before you configure access to particular topics included in a wiki, you must configure roles' access to the wiki by using the Access Rights by Role (SM201025) or Access Rights by Screen (SM201020) form. For more information, see Wiki Access Management.

Form Toolbar

The form toolbar includes only standard buttons. For the list of standard buttons, see Form Toolbar and More Menu.

Summary Area

You can use the elements in this area to select one of the existing roles.

Element Description
Role Name The role name. Select the name from the list of roles.
Role Description The description of the role.
Apply Rights to Nested Nodes A check box that you select to apply changes in access rights of the node topic to all topics included in this node. Clear the check box to not apply changes in the access rights of the node topic to the topics of this node for which access rights have been updated manually.

Left Pane

This pane contains a tree-like structure of all the wikis configured in your organization with all the folders within them. The wikis are represented as second-level nodes. You can expand the node and view the hierarchical structure of the wiki. Some wikis have a one-level list of items, while other wikis have multiple levels. When you click a node, the right pane displays the list of its items (folders and articles) with their details.

Right Pane

By using this pane, you can view and edit the items of the folder selected in the left pane and the access rights the selected role has to the articles in that folder.

When you select the company name node, you see the list of wikis in the right pane. If you change access for the wiki, you set up access to all the articles included in the wiki at once; you don't change access to the wiki itself. To set up access to the wiki, you use the Access Rights by Role (SM201025) or Access Rights by Screen (SM201020) form.

Column Description
ID The identifier of the article.
Name The name of the article.
Access Rights The type of access rights the role has to the article. The following options provide access to the article as described below:
  • Not Set: If all roles have Not Set access, the system allows all operations for a user with the role. Once the access rights of at least one role have been changed to any other option, the system prohibits access for users with all roles that have Not Set access rights.
  • Inherited: The access rights users with the role have to the article are defined by the type of access rights specified for the node this article belongs to.
  • Revoked: If the role has this level of access rights, the system doesn't allow a user with the role any access to the item.
  • View Only: A user with the role can view the published article or the published folder and all enclosed published items.
  • Edit: The system allows a user with this role to edit the article.
  • Insert: The system allows a user with this role to edit the article or folder, create new articles, and initiate the approval process for publishing for the item if such approval is requested for the wiki. This level allows higher and lower levels of access to be set to the articles.
  • Publish: A user with this role can edit, create, and publish articles if such approval is required for the wiki. This level allows setting higher and lower levels of access to the items.
  • Delete: A user with this role can edit the article, delete it, or, for a folder, create new articles within it.
Parent Access Rights The type of access rights the role has to the for the node this article belongs to.
