Managing Leave Requests

If the Employee Self Service module is in use, employees can log in and create their own leave requests. Requests for leave are then sent to the Payroll module, where they can be approved or declined by a payroll administrator, individually or in bulk. Once approved, leave requests can be imported into a pay run and processed as normal.

Leave Administration

Leave requests are displayed on the Leave Administration (MP.PP.50.40) form. Where leave requests require approval, this is done on the Approvals (EP503010) form, in the same way as other MYOB Acumatica records that require approval. A payroll administrator can view the details of each request, and approved leave can be marked as ready to pay so that it can be imported into a pay run. This operation can be performed in bulk by selecting multiple requests before using the Leave Administration form's Ready to Pay toolbar button.

Leave requests move through the following statuses:

  • Open: The request has not yet been submitted for approval.
  • Submitted: The request has been submitted for approval. It can still be edited or deleted at this stage.
  • Approved but not paid: The request has been approved, but has not yet been processed as part of pay run. It can be edited, which will return it to the Open status.
  • Declined: The request has been declined and will not be processed further.
  • Ready To Pay: The request has been marked as ready for inclusion in a pay run (or pay runs, if the amount of leave spans more than one pay period). It can be edited by a payroll administrator, which will return it to the Open status.
  • Processing: The request has been added to a pay run, which is currently being processed. It can no longer be edited or cancelled.
  • Partially Paid: If the requested leave spans more than one pay run, this status indicates that one or more of those pay runs has been processed, but there is still some of the request that has not yet been paid.
  • Paid: All days of the request have been paid, across one or more pay runs.

Importing Leave into Pay Runs

Leave requests that are in the Ready to Pay status can be imported into a pay run for processing. Leave is imported into a pay run with the Import Leave button on the Pay Run Details (MP.PP.31.20) form.

If necessary, leave can be re-imported into the pay—when importing leave, if any leave items already exist in the pay, you will be given the option of re-importing and overwriting the existing leave, or only importing new leave requests.

Note:
Importing leave does not affect any leave that has been added to the pay manually.
