Employee Time Entry: Time Activities

MYOB Acumatica provides the ability to report the time employees spent on each activity. This functionality is available if the Time Management feature is enabled on the Enable/Disable Features (CS100000) form.

Entering Time Activities

You can enter the time an employee has spent on an activity if the Track Time and Costs check box is selected on either of the following forms:

  • Activity (CR306010): You start the creation of a time activity from the Activities tab of the data entry form where you are viewing the applicable record. For example, you might do this while viewing a case on the Cases (CR306000) or a project on the Projects (PM301000) form. On the table toolbar of the tab, you click Create Activity and select the menu command for the type of activity you want to create. The system opens the Activity form so that you can create an activity of the selected type.

  • Email Activity (CR306015): Here, too, you initiate the creation of a time activity from the Activities tab of the data entry form where you are viewing the record for which you are entering time. On the table toolbar of the tab, you click Create Email. This opens the Email Activity form so that you can create a new email.

With the Track Time and Costs check box selected, a group of elements appears on the Activity or Email Activity form, including the following:

  • The Time Spent box: Specify the amount of time spent on the activity.
  • The Billable check box: Select the check box to make the activity billable.
  • The Billable Time box: Specify the amount of billable time spent on the activity.
  • The Earning Type box: In this box, select the earning type of the activity. For more information, see the next section.

If you want the Track Time and Costs check box to be selected by default for activities of particular types, you need to select the corresponding check boxes in the Track Time and Costs column on the Activity Types (CR102000) form. The default state of the check box can be overridden.

Approving Time Activities

If an activity is associated with a project that requires approval—either at the project level or at the project task level—a billable time activity must be approved before it can be released for billing. You can approve the time activity if you are the project task approver or the time activity approver.

To approve time activities, you use the Approve Time Activities (EP507010) form if the Project Accounting feature is enabled on the Enable/Disable Features (CS100000) form. If time cards are used, you can approve time activities in groups by approving the time card summaries on the Approve Time Activity Summaries (EP507030) form.

Once activities have been released, the system tracks the costs related to specific customers, cases, contracts, or projects. It also generates the corresponding project transactions or customer invoices.
