Balance Overview

Who uses this form: An authorized portal user of a company using the Modern Customer Portal.
On this form, you can view financial documents related to your company’s account, including open documents, invoices, payments, and prepayments. You can review document details, filter and sort the list of documents, and initiate payments for open documents individually or together.
The form also provides summary totals and balance information, including overdue amounts and unapplied payments, and supports handling documents in multiple currencies.
This form is available only if both of the following conditions are met for the portal owner:
- The Modern Customer Portal feature is enabled on the Enable/Disable Features (CS100000) form.
- The portal has the Financials check box selected on the General tab of the Portals (SP701000) form.
Open Documents Tab
On this tab, you can view open documents, such as invoices, payments, prepayments, and credit and debit memos. You can also select each document you want to pay.
Each document is represented by a tile showing data about the document. The table below describes the types of data.

| Reference Nbr. |
The document’s reference number, which is displayed as a link. When you click a link with a payment or prepayment number, the Payments (SP334000) form opens, where you can view its settings. When you click a link with an invoice number, the system downloads a printable version of the document to your computer, and you can view the invoice’s settings. |

The status of the document, which the system assigns based on user actions. (On this tab, all listed documents have the Open status.) |
| Date |
The date when the document was created. |
| Business Account |
The name of the business account to which the document is related. |
| Type | The type of the document, which can be one of the following: Invoice, Debit Memo, Credit Memo, Payment, Voided Payment, Prepayment, Refund, Voided Refund, Overdue Charge, Balance WO, Credit WO, Cash Sale, or Cash Return. |

The external reference number of the document, which is displayed only if one has been specified. |
| Description |
The description of the document. |
| Document Amount | The total amount the document was created for, before any payments or adjustments were applied. |
| Due Date | The due date of the document. |
| Amount Applied | The amount applied to the document. |
| Balance | The remaining balance for the document. |
| Cash Discount |
The cash discount amount in the document, which is displayed only if it’s a nonzero value (with the plus or minus sign). If the Use Credit Terms in Credit Memos check box is selected on the General tab of the Accounts Receivable Preferences (AR101000) form, cash discounts are applied to credit memos and displayed with the minus sign. |
| Cash Discount Date |
The date by which the document must be paid for the cash discount to be taken. This date is visible only when the discount is applied. |
All Invoices Tab
On this tab, you can view all documents created on the Invoices and Memos (AR301000) form of MYOB Acumatica: invoices, credit and debit memos, overdue charges, and credit write-offs. You can pay the documents you want to pay.
Each document is represented by a tile showing its data. The table below describes the types of data.

The name of the business account to which the document is related. |

The type of the document, which can be one of the following: Invoice, Debit Memo, Credit Memo, Overdue Charge, or Credit WO. |

The number your company assigned to the order corresponding to the invoice, which is displayed only if one has been specified. |

On this tab, you can view the list of all payments and prepayments.

| Payment Method |
The payment method used for payments in the portal. The method is displayed in a masked format. |
| Unapplied Balance |
The portion of the payment that is not applied to any invoice. |
| Payment Amount |
The total payment amount. |
Totals Section
In this section, you can view summary totals for all documents, including overdue amounts, unapplied payments, outstanding totals, and the overall balance. You can also initiate payment for all open documents in a particular currency.
This section is visible when you’re viewing any tab.

| Overdue Total |
The total amount that remains unpaid on accounts receivable documents whose due date is earlier than the current business date. The system excludes voided documents, as well as documents of the Cash Sale and Cash Return types. |
| Unapplied Payments | The total unapplied amount of payments and prepayments. For each document, if the document type is Payment or Prepayment, the system includes the document balance in the total. Otherwise, a value of 0 is included. |
| Outstanding Total |
The total outstanding amount of invoices. For each document, if the document type is Invoice, the system includes the document balance in the total. Otherwise, a value of 0 is included. |
| Balance |
The overall balance calculated from all non-voided documents. For each document, the system includes the document balance in the total with the plus or minus sign, depending on whether the document increases or decreases the overall balance. |
| Proceed to Pay All |
A button you click to initiate payment for all open documents in a particular currency (or all open documents if you use only one currency). The button is visible only if the Payments check box is selected on the General tab of the Portals (SP701000) form. |
Selected Documents Section
In this section, you can view the number of selected documents and their total. You can also initiate payment for the selected open documents in the specified currency.
This section is visible on all tabs when at least one check box is selected for any unpaid financial document on any tab.
