Line Items


All order lines that have been selected using the Select Orders form display in the line item table. The first column of the table displays the purchase order and line number. Details associated with the selected line display in read-only format on the form.

Note: You can control editing line fields during receipt using the PO Preference Receipt Settings at a user level, or the Module Control settings at a system level.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Order No

The purchase order number of the selected line in the table. To search for a specific order/lines in the receipt, you can enter or search for an order number here, and be positioned to that order/lines in the table. You can enter a purchase order line number in the Line No field to move to a specific line within an order.

Line Type

The line type of the selected order line.

Ordered

The order date of the purchase order line in read-only format.

Expected

The expected date of the purchase order line. You can change the date.

Line Header Details:

This section displays header detail relating to the line that is selected in the table. The information displayed is read only, and is different depending on the line type:

GL Line

The Company, GL Account and Description, Short Code, Subcode (if applicable), Quantity Account indicator, and Unit Description display.

NS Line

The Non-Stock Code and Description, GL Account, Subcode, Quantity Account indicator, and Unit Description display.

IN Line

The Inventory Code and Description (and supplier's code if there is one assigned for the item), Location, and Unit of Measure, and Job Allocation along with Activity Code and Work Centre (if applicable) display. If the item is serial/lot controlled and/or dimension controlled,you can view or edit detail.

FA Line

The Purchase Order Reference, Asset Code and Description, Analysis Group, and Subcode display.

JC Line

The Job Code and Description, Activity Code and Description, Work Centre and Description, and GL Account display.

Note: If the JC Module Control option Allow to change sell rate on PO/AP is selected, the Sell Rate field displays at the end of the line item table. It is the sell rate of the line activity code. You can change the value here. This is the value that defaults to the JC AR Invoice entry form for this job purchase cost.

Receipt Line Details

This field displays the quantities and values of the receipt line.

Qty Rec'd

The default value is zero, or the outstanding quantity to receive associated with the purchase order line, depending on whether the PO Preference option Default receipted quantity to zero is selected or not. Before saving the receipt transaction, each line should be reviewed to ensure this value represents the quantity that is being received.

Cost Price

This field defaults to the cost price of the purchase order, but edit it before saving the transaction.

Val Rec'd

This is the quantity received multiplied by the receipt line cost price.

Val Rec'd to Date

This is a cumulative value, indicating the value that is received to date for the selected line if the line is partially received previously, this includes the value of the previous transaction).

Qty Outst'g

This field displays in read-only format the quantity still outstanding to be received for the line.

Qty Ord

This field displays in read-only format the original quantity ordered for the line.

Val Ord

This field displays quantity ordered multiplied by the purchase order cost price.

This field is read only.

Val Outst'g

This field displays in read-only format the value of the outstanding quantity, calculated as outstanding quantity x receipt line cost price.

Status

This field displays in read-only format the status of the order line.

Narration

The default value is the narration from the purchase order line, but you can change it.

Shipment

This field is only relevant if the receipt was generated using the Shipment Entry form. It displays the shipment reference in read-only format.

Receiver

If the Mobile PO Receiving and Put Away application is in use, the person who was logged into the mobile device when the receipt was created updates to this column in the line items table.

Create Invoice

Click this button to create an invoice for the receipt. The Create Invoice form displays, enabling you to enter an invoice reference for the transaction.

Cancel Line

If the PO User Preferences option Allow cancelling of order lines is selected, you can cancel all or part of the outstanding quantity associated with the line.

Note: You can also right click while on a line in the table to access a Cancel Line option. When the cancellation option is selected, the Cancel Order Line form displays.

Select a cancel reason, from a list of those previously defined on the Status Definition Maintenance form. You can select multiple cancel reasons, and assign a part quantity to each reason. The outstanding quantity to receive defaults to the Quantity Cancelled field, but you can change it to a lesser amount if you are not cancelling the entire line.

When you save this form, the quantity cancelled of the line updates, and the quantity outstanding reduces by the same value. Until the order has progressed beyond editing it is fully received or invoiced), you can edit the cancelled quantity for a line by using this cancellation feature.

When you have reviewed and edited all lines, click the Save icon to save the receipt and process the transaction.
