Defaults Tab
Use this tab to set defaults used on Job Cost forms.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Main Defaults
Profit Centre
Select a profit centre to default to all jobs and transactions. You can change the profit centre when entering data.
Branch
This defaults, in read-only format, to the branch of the default profit centre.
Zero Tax Code
Select a tax code that has a zero rate of tax. This is the default tax code in job cost transactions if tax is not applicable.
Calendar
Select the default calendar which determines the period summary dates for job cost transactions. This becomes read-only once it has been applied to job transactions. This calendar defaults to all new jobs when they are created on the Job Maintenance form
If the option Allow to Change Calendar at Job is selected, you can change the calendar when creating a new job.
Minimum margin %
Enter the minimum margin percentage required for all jobs. Job summary totals display on the JC Maintenance form based on this rule:
- If the job margin is below the minimum margin percentage, the margin percentage and value displays in red.
- If the job margin is equal to or greater than the minimum margin percentage, the margin percentage and value displays in blue.
Allowed to Change Calendar at Job
See Calendar above.
Allowed to change sell rate on PO/AP
Select this option to enable users to change the JC sell rate on the PO Standing Order Entry, PO Entry, PO Receipt Entry, and AP Invoice Entry forms (for JC lines).
Transaction Enquiry from current period
If this is selected, the From period on the JC Job Transactions form defaults to the current JC period, otherwise it defaults to the first period of the JC calendar.
Management Report from current period
If this is selected, the From period on the Job Report Selection form defaults to the current JC period, otherwise it defaults to the first period of the JC calendar.
Use Work Centre Plan on Job
Select this if new jobs use a Work Centre Plan.
Work Centre Plan
Assign a Work Centre Plan to be the default plan. This is used when setting up jobs and CRM quotes that use Work Centre Plans.
Default Invoice/Credit Note Branch
Use these options to specify how to derive the JC invoice (Including proforma conversions) and credit note branch.
Accounts Receivable Module Control
Sets the invoice or credit note branch to the Accounts Receivable Module Control default branch. If the Accounts Receivable module is not in use, Greentree Desktop uses the branch of the default job customer.
Job
Sets the invoice or credit note branch to the job's profit centre branch when the job is selected. If the job's profit centre does not have a branch:
- If the job is single debtor; the customer's branch is used.
- If the job is multi debtor, the selected customer's branch is used.
Customer
Sets the invoice or credit note branch to the customer's branch when the customer is selected.
Default Retention Codes
Use these options to set the retention codes to use with this company.
Note: This section is enabled if Use retentions is select on the Advanced tab.
Retention Claim
Click the search icon and select the retention sales code.
Retention Write-Off
Click the search icon and select the retention write off code.
Summarise JC Costs
Summarise Inventory
Select this option to summarise inventory costs on JC AR invoice sales lines.
Note: This is a default only. You can deselect it on the JC AR Invoice Entry form to show one cost line for each inventory item instead of a summarised total for costs with the same code and rate).
Summarise Labour
Select this option to summarise labour costs on JC AR invoice sales lines.
Note: This is a default only. You can deselect it on the JC AR Invoice Entry form if you want to show one cost line for each labour activity instead of a summarised total for costs with the same code and rate.
Summarise Purchases
Select this option to summarise purchase costs on JC AR invoice sales lines.
Note: This is a default only. You can deselect it on the JC AR Invoice Entry form if you want to show one cost line for each purchase instead of a summarised total for costs with the same code and rate.
JC Job AR Invoice
Select Invoice or Proforma, depending on which form to default to the JC AR Invoice Entry form.
If you select Proforma when the invoice is created, the invoice value is included in the sales retentions total displayed on the Transactions tab on the JC Job Maintenance form. No posting is made to the general ledger. Sales and customer outstanding values are not increased when a proforma invoice is created.
Customer Validation
This option works with the AR Invoice Entry and AR Credit Note Entry forms. If you select this option, you can only create invoices or credit notes for customers if the customer is assigned to a job using the JC Job Maintenance form.
If the option is not selected, you can add JC lines to standard AR invoices and credit notes for customers that are not assigned to the job referenced in the line. Job cost lines created in standard AR forms are recorded as sales or credits against the job and can be viewed on the Transactions tab of the JC Job Maintenance form.
COS Defaults
Input Based Jobs - Use COS Journals
Select this option if you require cost of sale general ledger journals to be created for input-based jobs when JC costs are invoiced. The cost is taken up by reversing the value out of the activity WIP account, and debiting the activity COS account.
Fixed Charge (Quoted) Jobs
Select:
- Use COS Journals if you must create cost of sale GL journals for fixed charge jobs when a final invoice is generated for a job. .
- Use Profit Recovery Percentage if you must create recovery percentage general ledger journals when a final JC AR invoice is saved. You can review the profitability of the job as it progresses.
Note: If you select the Use Profit Recovery Percentage option, the final invoice option is enabled on the JC AR Invoice Entry form for quoted jobs. If you select this option before saving the invoice, Greentree Desktop generates a reversal profit recovery journal and post a true cost of sales.
Schedule Based Jobs
Select:
- Use COS Journals if you need to create cost of sale GL journals for schedule based jobs when a final invoice is generated for a job.
- Use Profit Recovery Percentage if you must create recovery percentage general ledger journals when a final JC AR invoice is saved. You can review profitability of the job as it progresses.
If you select the Use Profit Recovery Percentage option, the final invoice option is enabled on the JC AR Invoice Entry form for schedule-based jobs. If the option is selected before saving the invoice, Greentree Desktop generates a reversal profit recovery journal and post a true cost of sales.
