Serial and Lot Details Tab


This tab is only available if you are using the Serial/Lot Tracking module. Enter system-wide serial/lot details on this form.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Use Serial/Lot Tracking

Select this option to use serial/lot control function. This will activate all menu options for serial/lot control function.

Default Item Type

Select one of three pre-defined item types. This type defaults to all new items when they are set up in Inventory Item Maintenance.

Format/Length

These fields are enabled if you select a default item type of either Lot Number or Serial Number. You must specify the format of the number, either Numeric or Alphanumeric, and the length of the number (for each type: Lot and Serial). These defaults to serial and lot controlled items, and Greentree will expect this format when serial/lot numbers are entered for the items.

Variable Serial/Lot Numbers

Select this option if serial/lot numbers can variable. If selected, you can edit the Length field for items in Inventory Item Maintenance - Main.

Warn or Stop Expired Items

This is enabled if you are using expiry dates. You can select an option to indicate whether Greentree should:

  • Display a warning during transaction entry (Warn Only), or
  • Prevent the sale (Stop the Sale), where the expiry date of the serial/lot number allocated to the transaction falls within the parameters specified in Serial & Lot Maintenance - Main for the item.

Use Serial/Lot Suspense Account

Select this option to use the serial/lot control suspense account function. You can enter transactions for serial and lot controlled items, where the serial/lot number is not known. When you select this option, and the suspense account is used, it will become read-only.

Keep Warranty Details for Serial/Lot Item

Select this option to maintain customer and/or supplier warranty details for serial/lot items.

Print Serial/Lot Data

Select this option if you want serial/lot numbers to print on inventory reports.

Default lot quantity to line quantity

Select this option to make the Lot Quantity to be the same as the Required Quantity for lot items.

Serial/lot number is unique

Select this option if you want serial/lot numbers to be unique throughout Greentree for all inventory items. If you don't select this option, Greentree can use the same number for multiple items, but not more than once for the same item).

If you select this option, when there are already duplicate serial/lot numbers within Greentree, you will be prompted which outlines the procedure you must follow to identify duplicates and renumber them. This involves first running a system script, then using the Change Serial/Lot Number process to replace the duplicates identified with unique numbers.

Remove serial/lot numbers when transaction is deleted

If you delete an IN transaction with an increasing effect on inventory, the associated serial/lot detail numbers are also deleted when you select this option, as long as the serial/lot numbers are not currently assigned elsewhere.
