Views


The View item is on each of the CRM sub-menus and consists of criteria to select the records you want to view.

A clever table displays all the records retrieved from the CRM database, using the criteria you specified. You can drill down into the grid and can also perform a number of functions on the records displayed in the grid. For example, perform a search on the subset of records retrieved. These clever table features are accessed through a click with your right mouse button, on the heading row of the view table.

You can use a number of wildcards and special search features on the View forms.

Buttons on the View Form

These buttons are on the View forms:

Search Now

The Search Now button runs a query on the Greentree database using the criteria you have selected. The query retrieves all the records and displays it in the result table.

Enquiry

Select the record from the result table that you want to view. The Enquiry button gives read access to the selected record. This button is disabled if you are not authorised to use the respective Maintenance form for the record selected, for example: Enquiry button is disabled on View Organisations if you are not authorised to use the Organisation Maintenance form.

The Enquiry buttons are appear on the View Suppliers, View Customers and View Inventory Item forms, depending on the settings on the User Preferences > Workflow > Integration tab.

Maintain

Select the record from the result table that you want to maintain. Click the Maintain button to open selected record for maintenance. If your security settings allow only read access to the record, then the record is available in read mode only.

This button is disabled if you are not authorised to use the respective Maintenance form for the record selected, for example: the Maintain button is disabled on View Organisations if you are not authorised to use the Organisation Maintenance form.

Save Criteria

Click the Save Criteria to save the search criteria so you can reuse it later. You will be requested to enter a Name for the Search Criteria.

Load Criteria

Click this button to select the criteria you previously saved using the Save Criteria button. Click the Search Now button to perform the search.

Add to List

This button is enabled on the Organisation and Contact View forms. The Add to List button enables you to add Contacts to an existing list.

View Organisation form

Add only the Primary Contacts or All Contacts for the selected Organisations in the Result Table, to an existing list in CRM. The Organisations can be selected in various ways:

  • Enter the View criteria and select Organisations from the resulting List
  • Perform a sub-search on the Result Table through Set Selection Criteria and then select the Organisations from the resulting List.
  • Select All button: Selects all the Organisations in the Result table.
  • CTRL key: Select Individual Organisations in the Result table.
  • Shift key: Select consecutive Organisation in the Results table.

The Contacts of the selected Organisations are added to the list, based on your selection of Primary Contacts or All Contacts.

View Contact form

Add the Contacts displayed in the Result Table, to an existing List defined in CRM. The Contacts can be selected in various ways:

  • Enter the View criteria and select the Contacts from the resulting List
  • Perform a sub-search on the Result Table through Set Selection Criteria and then select the Contacts from the resulting List.
  • Select All button: Selects all the Contacts in the Result table.
  • CTRL key: Select Individual Contacts in the Result table.
  • Shift key: Select consecutive Contacts in the Results table.

Mail Merge

Allows you to create letters/labels using Word Merge (Office 2000 or later) to the Contacts in the selected lines. This button is only available on these forms:

  • View Contacts
  • View Individual Bookings
  • Bulk Convert Contacts to Customers

Bulk email

Allows you to send email to the group of Contacts in the selected lines. This button is only available on these forms:

  • View Contacts
  • View Individual Bookings
  • Bulk Convert Contacts to Customers

Select All

This button auto selects all the records displayed in the Result Table. Depending on the specific View form that you are using, this button enables you to:

  • Bulk select either the Organisations for which you want to add the Contacts to an existing list, or the Contacts to be added to an existing list using the Add to List button.
  • Bulk select the Contacts which you want to convert to AR Customers on the Bulk Convert Contacts to Customers form.
  • Bulk select the individual Bookings to perform a Mail Merge or Bulk Email.
  • Select all the Notifications displayed in the table.

Unselect All

This button deselects the Selected option for all records displayed in the table.

Delete Selected

This button permanently deletes all the records in the table that have the Selected option selected. You should backup Greentree before permanently deleting records.

Copy Code

This button is on the View Inventory Items form only. It enables you to copy the Inventory code to clipboard for use outside Greentree.

  • Copy code of first Inventory Item displayed in table: If the Copy Code button is selected without having any Inventory Items selected in the View table, then the code of the first
  • Inventory Item in the result table is copied to clipboard.
  • Copy code of selected Inventory Item: Select the required Inventory Item from the list and then select the Copy Code button. This copies the code of the selected Inventory Item to clipboard.
  • Copy detail of selected inventory Items: Select a number of Inventory Items from the list using the Shift (consecutive items) or CTRL key (not adjacent lines). Then, select the Copy Code button. This copies the Code, Description, Status, Quantity on Hand, Type, Analysis and Unit of Measure of the selected Inventory Items to clipboard. These fields are tab delimited, which means that you can paste it directly into Excel.

SO Enquiry

This button is on the View Converted Quotes form and gives access to the Sales Order Enquiry form.

Customer Enquiry

This button is on the View Converted Quotes form and gives access to the Customer Enquiry form.

Mark Read

This button is used with Notifications. When selected, all the Notifications in the table which has the Selected option selected, updates to Read status.

Mark Unread

This button is used with Notifications. When selected, all the Notifications in the table which has the Selected option selected, updates to Unread status.

Resort Table

Click this button to resort the information in the table based on another Property (column). Click the Resort Table button to open the Select Property form, which lists all the properties (fields) for the Record Type listed in the result table. Select a Property that you want to sort the table on. Select the Sort Order: ascending or descending and click OK. The result table is resorted based on your selections.
