View General Ledger


Use the View General Ledger to enquire on the GT General Ledger Accounts database.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Account

  • Within Greentree: If you want to view the detail for a specific GL Account, you must select the Account from the search field.
  • From Excel: GL Account defaults to the Account that forms part of the formula used in the Excel cell on which drill down was performed.

Transaction Type

  • Within Greentree: Select the Type of transactions that you want to see the GL Account detail for.
  • From Excel: Transaction Type defaults to the Transaction Type that forms part of the formula used in the Excel cell on which drill down was performed.

Period From Year

  • Within Greentree: Enter the first year for which you want to display transactions.
  • From Excel: This field is automatically filled using the formula used in the Excel cell on which drill down was performed.

From Period

  • Within Greentree: Enter the first period for which you want to display transactions. This field is disabled if YTD is selected.
  • From Excel: This field is automatically filled using the formula used in the Excel cell on which drill down was performed.

Period To Year

  • Within Greentree: Enter the last year for which you want to display transactions.
  • From Excel: This field is automatically filled using the formula used in the Excel cell on which drill down was performed.

Period To

  • Within Greentree: Enter the last period for which you want to display transactions. This field is disabled if YTD is selected.
  • From Excel: This field is automatically filled using the formula used in the Excel cell on which drill down was performed.

Search Filter

This field is automatically filled when the drill down from Excel is performed. This field contains the filters used in the Excel cell on which drill down is performed.

Invert Sign

  • Within Greentree: Select this option to invert the signs in the search.
  • From Excel: This field is selected or deselected using the formula used in the Excel cell on which drill down was performed.

Display Zero Balances

  • Within Greentree: Select to retrieve zero balance accounts. If selected, the zero balance accounts are included in the display on the Balances tab.
  • From Excel: This field is automatically filled using the formula used in the Excel cell on which drill down is performed.

Formula

This field is automatically filled when the drill down from Excel is performed. This field contains the Formula used in the Excel cell on which drill down is performed.

Tree

  • Within Greentree: Select the GL Account Tree that you want to search on. Once selected, all the Tree Branches display. You must select the Branches you want to search on.
  • From Excel: This field uses the formula used in the Excel cell on which drill down was performed.

Tree Branches

Within Greentree: This field displays all the Branches for the selected Tree. You must select the Branches you want to perform the search on. You can click the:

  • Select All button to auto select all the Tree Branches.
  •  Unselect All button to deselect all the Tree Branches so that none of them is selected for the search.

From Excel: This field defaults using the formula used in the Excel cell on which drill down was performed.

Budget

  • Within Greentree: Select the budget to retrieve balances from. This is available if the Mode is Budget or Transactions Code - Budget.
  • From Excel: This field uses the formula used in the Excel cell on which drill down was performed

Reporting Budget

  • Within Greentree: Check to return Reporting Budget Value/Quantity or unchecked to return Budget Value/Quantity. The default is checked.
  • From Excel: This field uses the formula used in the Excel cell on which drill down was performed

Balances

  • Within Greentree: This table displays the GL Accounts using the criteria you entered on the form. The balance of each account displays.
  • From Excel: This tab displays by default and automatically filled with the GL Accounts for the formula used in the Excel cell on which drill down was performed.

Use this tab to select a GL Account line and then view the Transactions for this account on the Transactions tab.

Transactions Table

This table displays the transactions for the GL Account selected in the Balances table, using the Summarise by and Transaction by selections you have made.
