Project Creation and Processing: Related Report and Inquiry Forms
In the following sections, you can find details about the reports you may want to review to gather information about projects.
Finding Projects Related to a Customer
You can prepare a report with all the projects related to a particular customer on the Projects (PM631000) report form. In the prepared report, the projects are listed, along with their descriptions, statuses, and start dates.
Printing the Project Balance
While you are viewing a project on the Projects (PM301000) form, you can prepare a printable document showing the project balance at the project task level of detail; to do this, you click Print Project Balance on the More menu (under Reports). The system opens the printable document with the project balance on the Project Balance (PM621000) report. Then you can review the project balance, which is grouped by project tasks.
Auditing a Project’s Unprocessed Records
You use the Project Audit (PM406000) form to review all records pending processing for a specific project. To get started:
- In the Project box, you select the project whose unprocessed records you want to review. You can select a project with any status except Closed.
- In the From and Until boxes, you can specify the date range of the records to be shown.
- In the left pane, you click the node of an entity type—such as pro forma invoices, project transactions, or change orders—to view the records of that type in the table. You can see the number of records pending processing next to each entity type.
In the table, you can review the list, drill down to individual records, and decide whether to process them or route them for follow-up.
You may need to share the status of these unprocessed records with other stakeholders. In this case, click Print on the form toolbar of the Project Audit form. This opens the Project Audit (PM406010) report, which you can print, email, or export to a PDF or Excel file.
Reports with Closed Projects
Closed projects are hidden from the UI. But you can still analyze closed projects’ past performance and include them in analytics by using these reports, which include projects with all statuses:
- Employee Hours (PM622000): Displays the work hours that your employees have spent on specific projects and project tasks.
- Project Cost History (PM706230): Shows cost transactions for projects. For each project, documents are grouped by account group and cost code (if applicable) and listed by reference number.
- Project Tasks (PM632000): Provides the list of projects with a breakdown of the project tasks, including each task's description, status, start and end dates, and default account (and subaccount, if applicable).
