Requisitions Entry
Use the Requisitions Entry form to create a requisition by:
- Entering the requisition items using table.
- Entering the requisition items using data entry fields on the Line Items tab.
- Pulling the requisition items from Job Cost Estimates by clicking the Load JC Estimates button on the Requisition Entry form.
- Pushing the requisition items from Job Cost Estimates to a Requisition by clicking the Create Requisition button on the Job Estimate form.
- Pushing the requisition items from Job Cost Estimates to a Requisition by clicking the Generate button on the View Job Cost Estimates form.
- Pushing the requisition items from a Job Type Quote to a Requisition by selecting the Create Requisition option when updating the Job Estimates from the quote.
Main Form
The Requisition Number on the main form identifies the requisition. Use settings on the Cash Management Module Control form to indicate that Greentree Desktop should generate the requisition number. The requisition number displays in the Last Number field when the requisition is saved. The last number is used to search in the Number field, giving fast access to the last requisition for maintenance.
The main form also contains the:
- Requisition total fields: The total discount, net value, tax, and amount for all line items are displayed.
- Requisition items table: Use the table to enter, edit, or view items on the requisition. Requisition items entered through the data entry fields on the line items tab also display in this table.
Note: The Entry Display table on the Requisitions tab on the Cash Management Module Control form determines which requisition fields are visible on the Data Entry table (at the bottom of the Requisition Entry form) and which data entry fields are visible on the Line Item tab.

- Submit Requisition
A dialog displays if the requisitions is on hold or requesting confirmation. If confirmed or not on hold, this button updates the status of all the Requisition items to Submitted. Submitted requisition items are available for inventory sourcing and purchasing.
- Unsubmit Requisition
This button is enabled if the user can unsubmit a requisition that has already been submitted. The status of the requisition is reversed from Submitted to Entered.
- Source Requisition
This button is enabled if Use Sourcing is selected on the Requisitions tab on the Module Control form. Click this button to save and submit the entire requisition, and to approve it. If the requisition cannot be approved, the requisition's status updates to Waiting for approval. If submitted and approved, Greentree Desktop loads the existing sourcing form. The filters default based on this requisition. The lines are selected and the Suggest quantities feature is activated.
For example, a user in Melbourne enters a requisition for one or more lines. The user clicks the Source Requisition button. The Sourcing form opens, with all the requisition lines pre-filled and with suggested stock — for example, Transferred from and/or Purchased.
You can accept or modify suggestions on the Sourcing form, then create the transfer transaction(s) from the source warehouse to the transit location. Depending on their privileges, the user may or may not create purchase orders for shortfalls.
Quantities that aren't dealt with remain in sourcing and can be dealt with later and reported on.
The requisition line status displays the in transit quantity and value. The quantity shown, if in a multi-stage transfer inventory, is moved to a transit location but is waiting to be receipted. Once receipted, this reduces itself.
- Generate PO
This button is disabled if the requisition type is set as Internal or requisition status is On Hold or the Generate PO option is set to Hide. Clicking this button performs all checks required — for example, requisition is not on hold, requisition limits have been met, approvals have been performed — and generates a purchase order per supplier selected on the requisition for each inventory item. The Transaction Processing form displays, containing this information:
- Number of errors or warnings
- Number of purchase orders generated
- Purchase order number, supplier code, and supplier name
The status of the requisition inventory lines for which a purchase order is created updates to Processed. If all requisition lines have been processed, then the requisition header's status updates to Processed.
Note: The Generate PO setting on the Requisition tab on the Module Control form determines whether or not this feature is enabled or disabled. You can also select if the Generate PO function should only generate the purchase order or generate the purchase order, and print the PO Purchase Order report.
- Cancel Requisition
Click this button to cancel the requisition. The status of each line item updates to 'Cancelled'. The requisition is locked and cannot be maintained.
- Requisition Enquiry
Click this button to open the Requisitions Enquiry form, which enables you to perform an enquiry on any stage of the requisitions process: Requisition, IN Transaction, Purchase Order, Shipment, Receipt, or Invoice.
- Load JC Estimates
Click this button to open the Load JC Estimates form. You can search for the estimates to load. The search is based on any of: Job, Estimate, Start Date, Profit Centre, Line Type, Job Accessibility. You select a estimates from the results table and push them through to the requisition by clicking the Generate button. You can generate a requisition for each selected estimate line or to generate one requisition containing all the selected estimate lines.
