Main Tab


The Main tab contains fields that apply to the entire requisition.

Note: If you change the Type, Greentree Desktop checks that all entries are still valid as set for the Requisition Type. Error messages display if invalid entries exist. Security is set using the current user's user privileges.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Number

Enter a unique alphanumeric string. Greentree Desktop can automatically generate the requisition number. If required, update the Main tab on the SCM Module Control form.

Last Number

This field contains the last requisition's number. You can copy and paste the last requisition's number to the Number field and search for the record.

Requisition Date

This field contains the date on which the requisition was entered. This date defaults to the system date.

Expected Date

This field displays the date on which you can expect to receive the items on the requisition. Expected Date defaults to Requisition Date + Number of Days entered in the Default Requisition Lead Time field on the Requisitions tab of the Supply Chain Management Module Control form.

Urgent

Select this option to indicate that the requisition is urgent.

Location

Location defaults to the user's warehouse or stocking location, as set in on the Requisitions tab of the User Preferences form. The location defaults to the requisition line's location.

You can change the location. If changed, then the requisition's active line's location is changed unless an item is already selected for the line.

Discount %

Enter the discount that applies to the requisition. The percentage you enter defaults to each line item. You can update the discount percentage for individual line items.

Currency

Currency defaults to the currency for the requisition type, as defined on the Requisition Type Maintenance form. If a supplier is selected on a new requisition, the currency updates to the currency of the supplier.

Note: This field updates to read only if line items exist for the requisition.

Rate

The exchange rate for the selected currency displays.

Status

This field displays the status of the requisition.

The status can vary from line item to line item. The status defaults to the earliest status on all line items — for example:

  • On Hold
  • Entered
  • Submitted

On Hold

Select this option to put the requisition on hold. If you select this option, the requisition header updates to On Hold. All Entered requisition lines is also updated to On Hold. If deselected, the Requisition Header and Lines are released. The status updates to Entered.

Note: Only users with the correct permissions can put a requisition on hold.

Type

Select the requisition type. The Search field gives access to all requisition types defined on the Requisition Types form.

This field uses the Default Requisition Type defined on the Requisitions tab on the Supply Chain Management Module Control form.

Branch

Select the branch that the requisition applies to. The branch defaults to the Branch selected for the user on the Requisitions tab on the User Preferences form.

Supplier

Select the supplier for the requisition from any of these search fields:

  • Code
  • Alpha
  • Name

Inactive suppliers do not appear in the Code, Alpha, or Name fields.

Once selected, the remaining Supplier fields default to the supplier that you selected.

The requisition type determines whether or not Supplier is an optional or mandatory field. This is set on the Requisition Type Maintenance form.

If:

  • Limit Stock By Supplier is selected on the User Preferences form, then the inventory items on the Line items tab are limited to the selected supplier.
  • You don't enter a supplier here, you must do so when generating the purchase order.

Narration

Enter text about the requisition. If Update Document Narration with originating Transaction reference is selected on the Supply Chain Management Module Control form, then the Narration updates with the reference of the transaction from which the requisition is created.

View

This field determines which records you have access to. You can modify your view (depending on your security level), by selecting one of these options:

  • All - All records are available, no limitation based on the owner of the record.
  • Mine - Only the records that are assigned to you are available.
  • Team - Only the records that are assigned to your team(s) are available.

The View field respects the security settings defined on the User Preferences form. Logging in as super gives you access to all records.

Requisition Discount

This field displays the total discount for the requisition. This field is calculated using the sum of the discount for each line item. This field

Requisition Net

This field displays the total net amount of the requisition. This field is calculated based on whether or not the tax type of the line item is:

  • Inclusive of Tax: (Price + Tax) - Discount, for all the line items
  • Exclusive of Tax: Price - Discount, for all the line items This field is display only.

Note: You can disable the Requisition Total fields on the Supply Chain Management Module Control form.

Requisition Tax Total

This field displays the total tax amount for the requisition. This field is calculated using the sum of the tax amount for each line item. This field is display only.

Requisition Total

This field displays the total amount for the requisition. This field is calculated using the sum of the line total for each item, including tax. This field is display only.

Note: You can disable the Requisition Total fields on the Supply Chain Management Module Control form.

Requisition Lines

This table lists all the line items for the requisition. The table contains detail for each requisition line item. You can add, edit or view lines in the table. You can create line items by entering them in the:

  • Requisition Lines table
  • Data entry fields on the Line items tab, then clicking the Save Line button

You can create these items:

  • General Ledger
  • Inventory Items
  • Fixed Assets
  • Non-stock Items
  • Job
