Inventory Test Results Entry
Use this form to enter individual test results for a serial/lot, and to indicate whether tests have passed or failed. Individual tests are passed or failed at a line level, and the overall group of tests for the selected serial/lot are passed at a header level.
All quality controlled serial/lots assume the default QC status when they are created. They is updated to an Active status once all tests for them have been passed.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Reference
Test references are generated if the QC Module Control option to Create QC record when serial/lot is created option is selected. Select the reference of the item/serial/lot you are entering results for, and the detail defaults to the form. If you do not know the reference, use the Search feature (outlined below).
If the QC Module Control option to Create QC record when serial/lot is created option is not selected, you must create tests for the item or serial/lot using the Create feature. If the option to automatically generate codes for inventory item tests is selected in QC Module Control, leave this field blank. Otherwise, you must enter a reference of up to 10 characters long.
Code/Description
These default to the item code or description of the selected reference, or you must select the item if you are creating tests.
Serial/lot
The default value is the serial/lot of the selected reference. You must select the serial/lot if you are creating test.
Created date
The default value is the date the test is created, but you can change it.
Sequence
The sequence number of the selected reference, which Greentree Desktop maintains. This indicates the sequence in which single serial/lots with multiple test references for them were created.
Passed/Approved by/Approved date
These options indicate whether all tests for the serial/lot have passed or failed. Only a person with Approver rights can update these fields. The approver must also have rights to approve tests for the specific item. You assign items to approvers using Personnel Maintenance or Team Assignment Maintenance, depending on how the QC Control option QC assigned to person is set.
If the Passed option is selected and an approved by date is entered, all tests have been approved and the serial/lot status updates to Active when the results are saved. If the Passed option is not selected, but an approved by date has been entered, the approver has failed the overall tests, and the serial/lot status is not updated it.
You cannot update these fields unless all individual tests have been completed. Each test must have a result entered, and an analyst and date assigned. An error message displays if you try to save test results where these conditions are not met.
If you expect
an approver to be available to select here but it does not appear on the
list, check the QC Overview to make sure
the correct responsibilities have been assigned to the approver.
Notes
Enter notes for the test reference.
Create
Click this button to create test lines for an item or serial/lot combination you have selected. Greentree creates tests based on what is set up in Inventory Test Maintenance.
Search
Use this option to search for an existing test reference. You can use filters to narrow your search for existing test references. Select the Processing records only option if you only want to see tests that are currently in progress, or deselect it to see all references for the current search selection.
The selected Focus on option determines the primary search.
Click Search Now to activate the search. To select a test reference to default back to the main form, highlight it in the table, and click Select.
Test Line Details
Classification/Test/Specification
Displays the classification, name, and specification for each test, defined in Inventory Test Maintenance for the item.
Mandatory
This column is read-only and indicates which tests are mandatory.
Result
The analyst must enter the result here. A result must be entered before the individual test can be passed.
Passed
Select this option to indicate the test has passed, or leave empty if the test is not yet complete, or has failed. If you select this option, an analyst and date must also be assigned before the test results can be saved.
Analyst
This uses the user login when a result is entered, if a login is linked to a QC person. However, a different analyst can be selected if one or more analysts are set up in QC Personnel Maintenance with no linked login. An analyst can only be assigned if:
- The person is set up as an Analyst;
- The person can enter results for the specific item;
- The person can enter results for the specific test classification.
If you expect an analyst to be available to select here, but it does not appear on the list, check the QC Overview to make sure the correct responsibilities have been assigned to the analyst.
Date
A date must be entered when a result is entered. The default value is today's date.

If an Analyst and a Date are assigned to the test line, but the Passed option is not selected, this indicates the test has failed. If no analyst or date is assigned, it indicates the test is not yet complete. |
Note
Enter notes for the test.
Click the Save icon to save test results.
