Entitlement Transfer

On the Entitlement Transfer form, you can transfer an employee's entitlement balances from one entitlement to another, or between the Accrual and Earned balances of the same entitlement. You may need to do this if, for example, an employee who was earning 4 weeks Annual Leave per year, negotiated an increase to 5 weeks - in this case, the balance would need to be transferred from the 4-week entitlement into the new 5-week entitlement. When terminating an employee, the system processes only one entitlement for each leave type - if an employee has more than one Annual Leave entitlement, for example, you will need to transfer the balance of one to the other before the termination can be processed.

Select the entitlements to transfer balances between and click the Save button to perform the transfer. The employee's accrual and entitlement amounts are transferred separately; each transfer will result in a separate entry on the Entitlement History (MP.PP.44.00) form.
Note: To make a one-sided adjustment of an employee's entitlement balances, use the Entitlement Adjustments (MP.PP.30.00) form.

Summary Area

Element Description
Employee Select the employee whose entitlement balances you want to edit.
Adjustment date This is the effective date for the displayed balances, and for the transfer. The displayed balances will change if the date is changed.
Note: A future date can be set, which will be used for the transfer, but the displayed balances will not anticipate accruals.

Element Description
Entitlement Select the entitlement that balance will be transferred from.
Accrual This row displays the selected entitlement's Accrual balance and lets you enter the amount of Accrual balance to be transferred and the balance that it should be transferred to: Accrual or Earned.
Earned This row displays the selected entitlement's Earned balance and lets you enter the amount of Earned balance to be transferred and the balance that it should be transferred to: Accrual or Earned.
Balance at adjustment date This displays the total balance (Accrual + Earned) for the selected entitlement as at the selected adjustment date.
Balance after transfer This shows what the total balance for the selected entitlement will be once the transfer is made.

Element Description
Entitlement Select the entitlement that balance will be transferred to.
Note: You can only transfer between entitlements that have the same type of units, e.g. you cannot transfer between an entitlement valued in Hours and one valued in Dollars.
Accrual This row displays the selected entitlement's Accrual balance as at the selected adjustment date, and the balance it will have once the transfer is made.
Earned This row displays the selected entitlement's Earned balance as at the selected adjustment date, and the balance it will have once the transfer is made.
Balance at adjustment date This row displays the selected entitlement's total balance (Accrual + Earned) as at the selected adjustment date, and the balance it will have once the transfer is made.
Opening balance Tick this box if the selected entitlement has no opening balance. The new balance will be set as the entitlement's opening balance.
Last rollover date If the transfer is an opening balance, set the employee's rollover date for the entitlement. By default, this is set to the same as the entitlement that the balance is being transferred from (if that entitlement does not have a rollover date, then it is set to the current business date).
