Job AR Credit Note Entry
Use this form to generate job credit transactions, which may be offset against invoices previously generated using the JC AR Invoice Entry form.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Credit Note Header Details
Batch
This updates with a generated batch number after you enter the first transaction.
Branch
The branch comes from the default option selected on the JC Module Control form — for example, from the Accounts Receivable Module Control form, the job, or the customer. You can change the option.
Last Credit Note Number
This field displays the last saved credit note number in the batch in read-only format.
Job Detail
If you open the Credit Note Entry form from the JC Job Maintenance form, this defaults to the job that was selected when the form was opened. You can select a different job.
Client Detail
If the selected job has a single customer, the customer code and details defaults when you select the job. If the job has multiple customers, you must select the customer the credit note is for.
Payment Date
This is determined by the customer Terms assigned on the Accounts Receivable Customer Maintenance form. You can't credit notes as there is no payment date for credits, and the customer's account is credited immediately when the credit is saved.
Posting Date/Period End
The posting date defaults to the document date and is the date that is assigned to the credit note transaction when the general ledger is updated. The period end date is the end date of the period in which the posting date falls and is read only.
Credit Note
Enter a reference for the credit note, or leave the field empty if auto numbering is in use and to generate a number when the credit note is saved.
Order No
Enter an order number reference.
Salesperson
The default value is the salesperson assigned to the selected customer. You can select a different salesperson.
Format
Select a credit note report format to use if you are going to print the credit note from the form. You can select any report that is assigned as a Credit Note Format on the JC Report Format Maintenance form.
Date (document)
The default value is the current date and represents the date associated with the credit note. The posting date defaults to this date.
Narration
Enter a narration, up to 2,000 characters, to add information about the credit. This prints on the header of the credit note.
Credit Note Amounts
These values update in read-only format as lines are added to the credit note.
Credit Note Line Details
Enter the Sales Code that determines the sales account to be debited with the value of the credit note. Enter the quantity and the rate of the credit. The tax code defaults using the standard tax hierarchies and the discount % is taken from the customer.
You can enter a line narration to add more detail to the credit line. This is for reference only.
Add new lines to the table or click the Save Line button to clear the form and enter a new line if you are entering details using the form.
Click F2 or click the Save icon to save the credit note.
Saving the Credit Note
When you save a credit transaction, Greentree Desktop updates the general ledger and customer balances. The transaction effect is the opposite to the effect for an AR invoice.
Intrastat/EC Sales
These fields only display if the company is subject UK Intrastat and EC Sales reporting.
