Location Maintenance


Use this form to define your location structure, and set up individual locations. This is enabled if you are using the Multi Locations sub-module.

Locations are set up in tree format. They can have multiple levels. For example, you can define a high-level location as a warehouse, and then specify one or more lower-level locations as aisles, bays, racks, picking slots, and the like.

To create a location, click the Add New button on the Location Maintenance form while on the location branch that you are adding the location to.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Code

Enter a unique code to identify the location, up to six alphanumeric characters.

Name

Enter a name for the location, up to 30 alphanumeric characters.

Hold inventory at this level

Select this option if you want the location to be a stocking location. You can select the location when you enter a transaction, and item balances and transactional history is recorded at this level. If the option is not selected, you can't select the location when you enter a transaction.

Locations are specified as non-stocking. Do not select this option if you are setting them up to establish a physical structure, but no inventory is physically in them — for example, a geographical area or general region within a warehouse).

Note: If you are setting up a location that is for the inventory reorder process (basic or advanced), then you must specify the location as a stocking location.

Is warehouse

Select this option if you want the location to be a warehouse location. You can set up a physical structure, to specify warehouses at a high level, and create lower-level locations in them.

A warehouse location can also be a stocking location, to hold inventory at that level (for example, you can set up a bulk warehouse, if inventory is held in large quantities, and is easy to locate, without the need for setting up individual locations).

When you set up warehouses, you can:

  • Use the Warehouse Bin Management function.
  • When the reorder process (basic or advanced) runs, you can filter the output by warehouse.
  • When a stocktake is prepared, you can only include items that belong to a specific location range, which you can identify using the warehouse location.
  • If you stock the same item in more than one physical warehouse, you can define a primary location for the item within each warehouse.
  • You can use the warehouse location as the filter with any inventory report that supports filtering output by location. All locations in the warehouse are selected in the range.

Note: If you want Greentree Desktop to suggest reorder quantities for this warehouse location specifically, then you must specify the location as a warehouse location.

Is bin/Use multi-binning

These options apply if you are using the Warehouse Bin Management feature.

Is active

If this option is not selected, the location is not visible when entering a transaction, or any other function if you can select locations.

Note: You cannot set a location to inactive if it is assigned as a primary location.

Is protected

Select this option to prevent users from entering an AR invoice or a sales order for an inventory item in this location. Use this if goods are damaged or subject to quality control before they can be sold.

Note: You can still process purchase order receipts and inventory transfer transactions for these locations. If a location is protected, this is indicated on forms if location balances display.

When Warehouse Bin Management is in use and the Is protected flag is selected against a bin location, inventory in this bin is part of the Inventory Item Balance protected quantity.

Is transit

This option is enabled if the eXchange module is in use. It enables eXchange recipients to sell inventory from a branch different to their own.

Print location transfers at this level

Select this option if you want the Location Transfer Report to output transfer transactions for this location.

Address Lines 1-3

Enter up to 50 alphanumeric characters per line to represent the address for the location. You must enter a description into the first line.

Suburb

The label for this field is the Suburb on the Country Maintenance form. You can enter a 50 character alphanumeric suburb, or select one from a dropdown list. When you select a suburb from the list, the postal code, state and time zone (if required) display. You can edit or select a suburb code.

Post code

The label for this field is Postal code option on the Country Maintenance form. You can enter a 10 character alphanumeric post code, or select one from a dropdown list. When you select a code from the list, the suburb, state and time zone (if required) display. You can edit or select a post code.

State (seen above as City)

This field is enabled if the Use state in address details option on the Country Maintenance form is selected.

The label for the field is the State on the Country Maintenance form. You can enter a 20 character alphanumeric state, or select one from the list.

Note: A state associated with a post code or suburb always overwrite any existing value in this field.

Country

Select the country of the location.

T/Zone

This field is enabled if the Use time zone in address details option on the Country Maintenance form is selected.

You can enter a six alphanumeric character time zone. If a suburb or postal code was selected from a list, the time zone for that selection displays in this field.

Note: A time zone for a post code or suburb always overwrites the value in this field.

Phone

Enter up to 50 alphanumeric characters for the phone number associated with the location. If phone masking is in use, this field is formatted using the phone or fax mask defined on the Country Maintenance form. You can also enter text following a masked format if required — for example, for an extension number.

Fax

Enter up to 50 alphanumeric characters for the fax number associated with the location. If phone masking is in use, this field is formatted using the phone or fax mask defined on the Country Maintenance form. You can also enter text following a masked format if required — for example, for an extension number.

Contact

Enter the name of the main contact person of the location. You can enter up to 30 alphanumeric characters.

Email address

Enter up to 50 alphanumeric characters for the email address associated with the location.

Branch

If the location is a stocking location, it is mandatory to assign a default branch. When a transaction is entered that uses a location, this branch is used to construct the general ledger inventory account if wildcards are in use.

Note: If Greentree Desktop Desktop's eXchange module is in use, you can't change this branch once exchanges of information have occurred between the current system and recipients.

Inventory Account

You can specify a general ledger inventory account here, to use when a transaction for an inventory item is processed against this location. If no account is specified here, Greentree Desktop works through the account construction hierarchy to determine which account to post the inventory value to.

Click the Save icon to save the location details.

Tree Structure

When locations are set up, they display in the tree structure displayed on the left side of the Location Maintenance form. To view the details for each location, click the location in the table, and details defaults to the right side of the form.

Locations are colour-coded to indicate the options that apply to them. The legend displays at the base of the table.

To create a multi-level location structure, position the cursor on the parent branch (this may be a warehouse locations or geographical area), and click the New clear icon on the main toolbar. This will clear the form so you can enter details for the new location. Click on the Root branch before creating a new location if you are setting up a new parent location.

Locations 001 - 005 — for example, have been set up below parent (and warehouse) location AK. These locations is represented throughout Greentree Desktop as AK.001, AK.002, and the like, if the location segment separator (in this case a dot) is defined on the Inventory Module Control form.

If a location is defined as a stocking location, you are able to create new locations (bins) beneath it if the Warehouse Bin Management module is in use.

Inventory balances and transactional history for reporting are maintained at the stocking location level.

Once a location is used in a transaction, and inventory balances have been created against it, you can't delete it.

Copy Feature

This feature can be used when you are first setting up locations, if the lower-level structure is the same (or close to) more than one parent location.

For example, if you have already set up Location AK and locations 001 - 005 beneath it, you can create a parent location CH by clicking the Copy copy icon on the toolbar while on the AK location. Greentree Desktop prompts you to enter the new location code (CH) and name.

Greentree creates location CH, and all lower-level locations beneath it — for example, 001 - 005. The options for each location in the AK branch is assumed by the locations created under CH.

Intrastat/EC Sales

These fields only display if the company is subject UK Intrastat and EC Sales reporting.
