Default Price Book Hierarchy
This form is enabled if Advanced Pricing function is in use.
Use this form to define a hierarchy that can be applied when entering a transaction to determine whether an alternative price book exists for a customer and inventory combination. The standard practice for determining which price book to assign to a customer-related inventory transaction line is to use the customer's default price book, assigned on the AR Customer Maintenance form.
The default price book function enables you specify one or more alternative (default) price books, which may be dependant on the type of inventory item that is being sold to the customer. The function only applies to customer-related transactions and inventory lines.
You can define an alternate default price book for any of these Advanced Pricing combinations:
- Customer Code/Analysis Code
- Customer Code/Inventory Code
- Customer Code/Inventory Tree
- Customer Tree/Inventory Code
- Customer Tree/Inventory Tree
- Customer Default Price Book (uses the assigned customer default price book)
If the alternate default price book feature is in use, whenever an inventory item is selected when entering data, Greentree Desktop searches through the established hierarchy of customer/inventory combinations above, and when it finds an alternative price book is defined, it stops the search and returns that price book to the inventory line.
To use alternative default price book function, select the Use default price book hierarchy option. This populates the table with the customer and item combinations, that you can use to define your hierarchy. You can select the combinations to include in the hierarchy. Defining the hierarchy enables you to be specific about the order in which you want search when it is determining which price book to default to an inventory transaction line.
For example, if Greentree Desktop does not find a price book defined for the customer code/analysis code combination, it looks for one defined at a customer code or inventory code level, and so on. When it finds one, Greentree Desktop stops the search, and returns the price book to the transaction line using the combination of customer or item code relating to the line.
To move methods around in the hierarchy, click the method in the table and then drag and drop it to the position. Select the Customer Default Price Book option at the bottom of the hierarchy to ensure that status quo is maintained if Greentree Desktop does not find an alternative price book using any other method.
Once the hierarchy is defined, you can set up the alternative default price books on the Default Price Book Maintenance form.
Note: If the Use default price book hierarchy option is not selected, the customer's default price book is used.
