Email/Attachments Tab


Use this tab to:

  • Configure how emails are sent, what information is shown, and what information users can change.
  • Determine how to save the attachments that are used with the Human Resources Management module are saved. If they are to be saved externally, on your network for example, you options to reference them to the source file.

You can add attachments in most HR modules. Greentree Desktop compresses attachments and stores them in the JADE database. You can also save them outside of the database.

External attachments are saved on your computer or network, with a pointer from the JADE database to the external file. You can indicate the external location. You can also indicate how Greentree Desktop should manage the source file.

Note: You should apply security to the folders you use to store attachments.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Email Program

Select the email form to use:

  • Internal Email - Email is sent through the email function, defined on the General System Preferences form. After clicking the Email button, select an email template. The Email Canvas form displays, containing the detail of the email to be sent. Emails sent using the Internal Email option do not appear in your email form's sent items.
  • MSOutlook2000 - Email is sent using Microsoft Outlook. After clicking the Email button, select an email template. The email updates to Outlook, from which it is sent. You can view emails sent through Outlook in your sent items.

Do not display full name in email address

Select this option to display only the email address in the list of addresses. If not selected, the name and email address is displayed.

User can change Email Send From field

Select this option to enable the user to change the address from which emails are sent. You can use this — for example, when sending emails from a generic email address.

Save Attachment Externally

Select this option to save all HR attachments outside of the JADE database.

External Location

Enter the path in which to save the HR attachments.

No of Subfolders

To save each attachment in a separate subfolder, you must enter the maximum number of subfolders allowed. Once all subfolders have been used, the remainder of the attachments are saved to the last subfolder.

For example, if five subfolders are allowed, the first attachment is saved in subfolder 001, then 002, until subfolder 005 is created.

Source Options

Select one of these options for handling source files:

  • Never delete the source file
  • Always delete the source file
  • Warn before deleting source file
