Use this tab to enter general information about the asset, and to view asset balances.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Code

Enter a code to represent the asset, up to 12 characters. This does not need to be unique as long as the code has a different subcode for it.

Subcode

Enter a subcode, up to four characters, to further represent the asset. For example, if you have multiple assets that are the same or similar, but the balances and transactions of each must be set up separately. Use subcodes to assign a different depreciation method to each asset/subcode combination.

Description

Enter a description of the asset, up to 60 characters.

Profit Centre

Select the profit centre the asset belongs to. This is taken from the profit centre selected on the Fixed Assets Module Control form.

The profit centre for an asset determines the general ledger account that updates when an asset transaction is processed. You can also use it as a filter to output information to Fixed Asset reports. The name of the profit centre's branch displays next to the Profit Centre field.

Note: If a profit centre is assigned to an asset, you can change the profit centre and move all related history using the Profit Centre/Location Update form.

Branch

Select the branch the asset is associated with. This determines the general ledger account that updates when an asset transaction is processed.

Note: If it is left blank, the profit centre is used in the general ledger account hierarchy.

Group

Select the analysis group the asset belongs to. This is taken from the analysis group selected on the Fixed Assets Module Control form.

The analysis group for an asset determines the general ledger account that updates when an asset transaction is processed. You can also use it as a filter to output information to Fixed Asset reports.

Location

Select the location of the asset. This comes from the location selected on the Fixed Assets Module Control form. You can use the location for an asset as a filter to output information to Fixed Assets reports.

Note: If a location is assigned to an asset, you can change the location and move all related history using the Profit Centre/Location Update.

Serial No.

This if for reference only. If applicable, you may enter a serial number for the asset, up to 30 characters.

Job Code

This field applies if the Job Cost module is in use.

If the asset is for a job that is set up on the JC Job Maintenance form, you can select the job and you can transfer any depreciation calculated for the asset to the job as a disbursement expense. This is controlled using the option Post Depn to Job Cost on the Fixed Assets Module Control form.

When a job is selected, Greentree Desktop checks if the job's profit centre matches the asset's profit centre. If not, this message displays: Update Profit Centre from Job? Yes/No.

Job Activity

If you select a Job Code, you must select the activity code to use for depreciation transactions that update the job. The default value is the Activity Code on the Fixed Assets Module Control form if it belongs to the job's activity group.

If the selected job uses a work centre plan, you must select the activity code for the depreciation. The default value is the activity code set up on the Fixed Assets Module Control form if it complies with the work centre plan of the selected job. You can change it to another activity code.

Job Work Centre

If the selected job uses a work centre plan, the work centre for the depreciation must be selected. Select from the list of incomplete work centres belonging to the job's plan.

The fixed asset's activity code and work centre on the fixed asset are checked when processing depreciation and when entering a fixed asset adjustment. If the asset's work centre is invalid (not a posting level or is completed), or if the activity code and work centre combination is not valid, you cannot save the transaction and the process aborts. You must correct the setup of the fixed asset.

Comment

This is for reference only. You can enter a narration up to 60 characters.

Balance Type

This flag control the default Balance Type filter on the Transaction Enquiry form. If you select Forever, the Transaction Enquiry form defaults to an Open Item enquiry. If you select Yearly, this defaults to a Balance Forward enquiry.

Purchase Status

This is for reference only. You can enter a single alphanumeric character to further categorise the asset if applicable — for example, use a code of 1 to represent a leased asset.

Status

Use this option to indicate whether the asset is active or inactive. Inactive assets are not included in asset processes.

Sub Asset Table

This table displays all assets that have the same asset code, regardless of the subcode. The current asset is highlighted.

This table displays the quantity, cost of the asset, accumulated depreciation, and the closing book value.

Balances

Asset balances display on the right side of the form. If you are maintaining both tax and accounting balances, click the option to view balances. These balances are updated real-time as asset transactions are processed. This displays columns for Current Year and Next Year, and you can drill down to view the transactions for each total.

Intrastat/EC Sales

These fields only display if the company is subject UK Intrastat and EC Sales reporting.

Note: Information entered on this form prints on the Asset Master List.
