Price Book Maintenance

You can specify multiple price books selling rates for labour and materials that apply to activities, jobs, items, or employees. You can also use price books to record selling prices that have been agreed using a contract before job commencement.

Every job must have a default price book assigned to it using Job Maintenance. This is the price book that Greentree uses to determine the selling price for a transaction cost line for a job.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Code/Description

Enter a unique code to identify the price book, up to 10 characters long. You can also enter a description, up to 30 characters long.

Activity Code Group

Select an activity code group to limit access to the price book to specific activities. For example, if you enter a cost transaction that uses an activity code which does not belong to the activity group, .

Profit Centre Group

You can select a profit centre group to limit access to the price book to specific profit centres. For example, if a cost transaction is entered for a job belonging to a profit centre outside the group, Greentree ignores this price book when determining the selling price.

Users can edit only the price books that belong to their profit centre group. Users who have access to the profit centre group All Profit Centres can maintain all JC price books. All users can maintain price books that do not have a profit centre group selected.

Limit to Job

If you assign a specific job code, the price book is only used to determine selling prices for transactions for that job.

Default Inventory Price Level

You must assign a default IN Price Book to every JC Price Book. This is referenced in the hierarchy when Greentree determines a selling price for a job transfer transaction.

Closed

Select this option to indicate the price book is no longer in use. It will not be referenced within the JC Selling Price Hierarchy.

You can specify prices for both material and labour transactions using:

(A) Materials

Material price books apply to JC disbursement, purchase, plant charges, and inventory transfer transactions. When you are setting up material prices, you can set the sell rate or a markup percentage (based on activity code cost). You can set them at an:

  • Activity code level so the price applies to all purchase, disbursement, plant, and transfer transactions using the activity code, or
  • Item-specific level (so that the price applies only where the specific item is transferred to the job.

InformationThe a markup percentage applies to the cost price, rather than a fixed per unit price being specified.

(B)

Labour

Labour price books apply to JC Timesheet transactions. You can set a specific sell rate for one or any combination of: Activity Code, Employee Type, and Employee. The rate defaults to timesheet lines using the criteria assigned here.

As price books are assigned to jobs using Job Maintenance, the job updates to the Assigned Jobs table, so you can see which jobs are using the selected price book.

Information

Activity codes is available using the Type that is assigned to them in Activity Code Maintenance. For example, only Time types is available as labour activity codes.

If the Advanced Job Cost module is in use, you can set up prices to apply across specified date ranges.
