Defaults Tab


This tab contains general default information, and general ledger accounts that are for inventory transactions.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

WET tax applies

Select this option if the item is subject to Australian WET tax when it is sold. If you select this option, an additional field displays for you to select the tax class (mandatory). This will be a valid class that is set up in Tax Class Maintenance.

Tax code

Select a tax code to default to IN transactions for this item.

Informationthe customer/supplier tax code will change this for SO/AR and PO/AP transactions if assigned. If Australian WET and/or North American sales tax applies, only purchase usage tax codes may be selected here.

Tax class and description (not displayed in the above form image)

If the company is subject to Australian WET tax or North American sales tax, you must assign a tax class to the item. This is used to categorise the item for calculating and reporting tax.

Re-order calc method

If the Advanced Inventory Reordering module is in use, choose the calculation method (pre-defined) that you want to use for the item when reorder quantities are calculated. This is taken from Analysis Code Maintenance, if a method is defined at an analysis code level, or from the Module Control reorder defaults.

Import Duty Code

This is enabled if you are using the Import Costing module. Enter the duty code of the item. Duty codes are used to calculate the duty value for imported shipments. For more details about how duty is calculated.

Display active locations only

Select this option if you only want to see locations in the table if they are active.

Transfer inventory to new primary location

If locations are in use, you can nominate a location as being a primary location. This is the location that the item is usually (or always) stored in. Select this option to transfer available inventory from the previous primary location to the new primary location when the item is saved. The transfer will only occur for valid stocking locations, or to locations held within the same warehouse.

Transfer BO's to new primary location

When you change the primary location for an item, tick this option if you want to transfer all current backorders for the item to the new primary location. This option can be selected with the Transfer inventory to new primary location option, or independently.

Stocking locations table

This table displays the valid inventory locations for this inventory item:

  • If the option to validate locations is selected in IN Module Control, only locations added to this table will be visible and available for selection during transaction entry.
  • Add a location to this table to nominate a primary location. To do this, select the Is primary location box next to the location. You can nominate one primary location within each warehouse. There is an option in Inventory Module Control to use primary location as the default, which means that if selected, the primary location specified will be considered when locations are defaulted to transaction lines for this item.

You can specify whether the location is Active or In-Active, which may be relevant where inventory is regularly transferred within a warehouse (for example, seasonal factors). You can disable a location specified at the item level, without having the make it inactive at a location level. If the Inventory Module Control validate locations option is selected, locations that are not active in this table will not be available to select for an inventory transaction line.

If the option is not selected, the location will still be available to select, bu you can't save the transaction. The feature also applies to the selection of inventory items for stocktake preparation. If a location is made inactive, any supplier detail and reorder detail for the item will also be updated to inactive for the item/location combination.

InformationYou can change the active status at any time, enabling prior period transactions to be edited without restriction.

GL integration - Sales

Select the default general ledger sales account for this inventory item. This account will be credited with the sale value for a sale transaction for this item (selling price x quantity).

If you leave this field empty, Greentree uses the general ledger sales account assigned to the item's analysis code. If the analysis code does not have a sales account assigned, sales values will be posted to the GL suspense account, specified in General Ledger Module Control.

GL integration - Cost of sales

Select the default general ledger cost of goods sold account for this inventory item. This account will be debited with the inventory value for a sale transaction for this item (item cost x quantity).

If you leave this field empty, Greentree uses the general ledger cost of goods sold account assigned to the item's analysis code. If the analysis code does not have a cost of goods sold account assigned, the cost of goods sold value will be posted to the GL suspense account, specified in General Ledger Module Control.

GL integration - Inventory

Select the default general ledger inventory account for this inventory item. This account will be credited with the inventory value associated with a sale transaction for this item (item cost x quantity). If the field is left blank, Greentree uses the general ledger inventory account assigned to the item's analysis code.

If the analysis code does not have an inventory account assigned, Greentree uses the inventory account that is specified in General Ledger Module Control/Integration/Distribution Modules. If no inventory account is specified in General Ledger Module Control/Integration, Greentree uses the GL suspense account, specified in General Ledger Module Control.

GL integration - In-transit

Select the default general ledger in-transit account for this inventory item. If the auto receipt option is not selected when entering an inventory transfer transaction, this is the account that are credited with the inventory value when a transfer is processed. The value remains in this account until the transfer (in) is processed.

If this field is left blank, Greentree uses the general ledger in-transit account assigned to the item's analysis code. If the analysis code does not have an in-transit account assigned, the inventory value will be posted to the GL suspense account, specified in General Ledger Module Control.
