Timesheet Review

Security

These settings determine the level of access given to the Timesheet Review form:

Form access:

  • User Preferences / Access / Company

Site is licensed for Mobile Timesheet:

  • User Preferences / Access / Suite / Mobile / Timesheet
  • User Preferences / Menu security / Browser / Timesheet / Timesheet Employee

Site is licensed for Job Cost:

  • User Preferences / Access / Suite / Module Suite / Browser Client / Job Cost
  • User Preferences / Menu security / Browser / Timesheet / Timesheet Employee

Read:

  • User Preferences / Privileges / Timesheets / Timesheet Employee/ Read All Records and/or Read Team Records

Only Timesheets you have read access to can be viewed on the form.


Approve Timesheets

From the Approve Timesheets tab you can:

  • view the timesheet headers and lines that are pending the user's approval;
  • select timesheet headers and lines to approve.

This is the same functionality as provided via the zone or approvals panel.

RECORDS FOUND

The number of rows in the grid as a result of the search.

FILTER

To filter the search results:

  • select Filter
  • change the filter options
  • select Apply.

APPLY

Populates the grid with details matching the search criteria.

RESET

Clears the filter back to the default values.

Week ending

The week end date range for the timesheets requiring approval.

Defaults to ALL dates.

View

Defaults to All.

To filter the search result, select one of these views from the droplist:

  • All - displays both assigned and delegated timesheets awaiting approval by the logged in user.
  • Mine - displays all timesheets assigned to the logged in user for approval.
  • Delegates - displays all timesheets that the logged in user is delegated to approve.

Company

The companies for which Timesheets are to be approved.

Defaults to blank (All).

Employee

Defaults to All.

Where Employee is:

  • selected, timesheets for the Employee AND any employees in the selected Teams assigned to the logged in user for approval are returned in the search result.
  • blank (All), timesheets for any employees in the selected Teams assigned to the logged in user for approval are returned in the search result.

Teams

The user can select the Teams for which their timesheets are to be approved.

Works in conjunction with the Employee field.

Defaults to blank (All).

Where blank, timesheets for the employees that exist in one or more team are displayed.

This is a multi-select search field that allows for multiple team to be selected.

Select to remove a team.

Headers

Defaults to selected.

Indicates whether the timesheet headers are to be displayed on the grid.

Lines

Defaults to selected.

Indicates whether timesheet lines are to be displayed on the grid.

Grid fields

Approve - Select if the line is to be approved. Includes Select All and Deselect All column options.

Week Ending - The timesheet week ending date.

Employee - The employee name.

Date - The date of the timesheet line.

Narration - Details entered for the timesheet line.

Approver - The name of the approver(s) for the line.

Hours - The hours worked for the header/line.

Company - The company the timesheet line relates to.

Timesheet lines are displayed in pale yellow.

On selecting a timesheet header row, the line rows associated with that header are automatically selected.

On deselecting a timesheet header row, the line rows associated with that header are automatically deselected.

On selecting a line row, the header is not automatically selected.

On deselecting a line row, the header is not automatically deselected.

The Approve selections option will process whatever header and/or lines are selected.


Missing Timesheets

From the missing timesheets tab you can:

  • identify employees whose timesheet have not been created for a selected range of week end dates;
  • search for timesheets that have not bee completed for selected criteria;
  • send an email to employees advising them of missing timesheets.

By default, all timesheets where the Status is not completed are displayed in the grid for review.

The number of RECORDS FOUND is shown above the grid.

FILTER

To filter the search results:

  • select Filter
  • change the filter options
  • select Apply.

APPLY

Populates the grid with details matching the search criteria.

RESET

Clears the filter back to the default values.

Week ending

The week end date for the selected employee.

Defaults to the last week start and end dates.

Company

The companies the employee has access to Timesheets.

Team

The team/s the employee has access to.

Defaults to blank (All).

Where blank, missing timesheets for the employees that exist in one or more team are displayed.

This is a multi-select search field that allows for multiple team to be selected.

The team name displays once this has been added.

Select to remove a team.

Status

By default all incomplete timesheets are displayed for the default Week ending range.

To limit by status, select one of these from the droplist:

  • Not started
  • Unsubmitted
  • Rejected.

This is a multi-select search field that allows for multiple statuses to be selected.

The status name displays once this has been added.

Select to remove a status.

Apply

Populates the grid with details matching the search criteria.

Reset

Clears the filter back to the default values.

Grid fields

Send

Defaults to deselected.

Hidden where the employee's email address is invalid or blank.

On selection, on Send Message, an automatic email is sent to the employee reminding them to complete and submit (if required), their timesheet for the listed week ending.

Week Ending

The week ending date of the employee's missing timesheet.

If the employee does not have a Week ending day, this uses the Timesheet Control / Week end day.

Employee

The employee's usual name.

Status

The timesheet status. This can be:

  • Not started - the timesheet has not been created for the week ending date
  • Rejected - the timesheet header is rejected or has at least one line with the status rejected
  • Unsubmitted - the timesheet has no lines, or has some lines that have the status unsubmitted.

Hours

The hours entered on the timesheet excluding disbursements.

If the timesheet does not exist or has no hours entered, this displays 0.00.

Sent

Indicates the sent status of any missing timesheet reminder:

  • <blank> - Send has not been selected
  • In progress - Send has been selected. The email is yet to be sent.
  • Failed - Send has been selected. The email send has failed.
  • <timestamp> - Send has been selected. Displays the date and time the email was sent.

Should a subsequent reminder be sent to the employee, the <timestamp> is updated.

Email Address

The employee's email address.

If the employee is linked to a User, this is the User's email address.

An invalid email address is displayed in red.
