Security
Followups available for viewing, editing, adding or deleting depend on these access settings:
- CRM User Preferences / Privileges for Read, Change, Delete All Records and/or Read, Change, Delete Team Records.
- CRM User Preferences / Privileges for Add and/or Delete My Own Records.
Views
List view
Default View.
Displays real time summary information of all followups for the selected organisation/contact combination by:
- Subject
- Opened date/time
- Type
- Status
- Assigned To user
- Contact.
Selecting a followup in the list displays Phone, Mobile, Due date, and Details about the followup in a panel to the right.
Detail view
Full detail of any followup can be viewed by double clicking on a record from the:
- Followups panel on the workspace
- Relationship Centre / Followup list view.
Maintenance view
Edit mode.
Accessed by:
- selecting Add Followup from the smart button in list view,
- selecting a record as outlined in Detail View, or
- a zone link in Contact, Lead, Organisation and Quote.
Only followups with an Open status may
be edited. When a followup is closed, only the Subject, Status
and Assigned user can be changed.
For new followups, Auto Codes must be used, as manual numbering is not available in browser. These can be assigned in CRM > System > Setup / Auto Codes.
Navigation buttons
Navigation buttons are available in Detail view only, and allow the user to move through followups.
Where a record has been accessed via drill down, the followups available for viewing are filtered by the selected organisation and/or contact.
Overview
Subject (80)
The main purpose of the followup.
On saving, if Subject is blank, the first 50 characters of the Details text populates this field.
Where Details is blank, Subject is saved as a string concatenation made up of:
- Method description
- CONTACT name
- Open date.
Where no CONTACT is selected, Subject is saved as a string concatenation made up of:
- Method description
- ORGANISATION name
- Open date.
Type
The Type assigned to the followup determines which fields display on the followup form.
Defaults are based on the module the followup was created from.
Defaults to General unless opened from a Service request, then this defaults to Service.
To change the default:
- select Type
- clear the default name
- select an option from the droplist
- [TAB] or [ENTER] off the field.
The list of available types and their module areas are:
- Collection - Debt Collection
- Event - Bookings Management
- Fund Raising - Fund Raising
- General - Non specific
- Sales - Sales & Marketing
- Service - Service & Support.
Status
The current status of the followup.
Status defaults from CRM > System > Module Control / Sales / Def. Follow-up Status.
Followup statuses are maintained via CRM >
System > Utilities > Maintain Lookups / Follow-up Status.
Phone
Where CONTACT is selected, the contact phone number is displayed, otherwise the organisation phone number is displayed.
Mobile
Where CONTACT is selected, the contact mobile number is displayed, otherwise the organisation mobile number is displayed.
Reminder
A date added to this field causes a reminder to be displayed. This can be used by Approvals and Alerts to remind users of the followup.
Defaults to blank for a new followup.
Due
The date the followup is due. This defaults to the current date.
Completed
The date the followup was completed.
Where a Def. Follow-up Completed Status
is set in CRM >System > Module Control / Sales / Quotes,
on selecting Completed the Status field is automatically
updated to the nominated status.
Details
Information about the followup.
[ENTER] acts as a line break during text entry.
Info
Reference
The item the followup is related to. This may be:
- None (default)
- Campaign
- Communication
- Lead
- Quote
- Service request
Selecting a Reference, enables the Description search field.
Description
The description associated with the Reference selected.
F9 or selecting from Description displays
a droplist of references associated with the Type selected.
Assigned to
The person assigned to the followup.
Defaults to the current user for a new followup.
Private
Defaults to selected.
Determines if the followup is accessible to eModule users.
Published
Defaults to selected.
Indicates if the followup has been synchronised to Outlook.
