Rolling Over Projects

If you do the same tasks for clients every period (whether that’s weekly, monthly or yearly), rolling over a project lets you easily duplicate the project and carry over details (called components) like budgets and dates.

The components that can be rolled over include settings that aren’t available in project templates, such as parent project and tasks.

You can roll projects over one at a time or in bulk, creating thousands of new projects at the click of a button.
Note: After rolling over a project, the Project Rolled Over checkbox is automatically selected on the Summary tab of the Projects screen. If you want to use the project as a source for future roll overs, deselect the checkbox.

Configuring a Project's Rollover Settings

To configure a project to roll over, you need to select a rollover rule. Rollover rules determine which information (e.g., tasks, employees, budgets) gets copied when you roll over a project. For more information, see Creating a Rollover Rule.

  1. Go to the Projects screen and select a project.
  2. Open the Summary tab.
  3. Select a Rollover Rule for the project.
  4. If the project is a child project and you don't want it to roll over with its parent, select Exclude from Rollover.

    You can also select to exclude child projects on the Child Projects tab of the parent's record.

  5. Save the record.
Note: Projects without a rollover rule cannot be rolled over. The Run Project Rollover action will be unavailable, and they will not show up in the Run Project Rollover screen.

Rolling Over a Single Project

  1. Go to the Projects screen.

  2. From the list of projects, open the one you want to roll over.

  3. On the toolbar, click the three dots icon (. . .) and choose Run Project Rollover.

Rolling Over Projects in Bulk

  1. Go to the Run Project Rollover screen.

  2. In the Branch field, select which branch’s projects you want to roll over.

  3. In the Action dropdown, select Rollover.

  4. Optionally, use other fields in the screen’s summary area to filter the list of projects. For example, you could use the Project Status field to only view active projects.

  5. Roll over some or all of the projects in the table:

    • To roll over all projects in the table, click Process All .

    • To roll over only some projects, select the projects to roll over and click Process.
