Expense Receipt


When expense claims or credit card statements require receipts to match to the items, you can email or import images of the receipts. The eDoc import process imports all receipts.

Receipts are available to a user using the email address set on the User Preferences form. You can also assign receipts either on import by having directories for each user, or assigned the receipts to a user.

Expense receipts, expense claims, and credit card lines have eDoc coding which links to Greentree Desktop general ledger coding. You can code and/or approve the expense receipt before or after matching it to an expense claim or credit card.

After you assign an expense type, tabs display that enable you to code the expense receipt.

The items displayed on this form depend on the whether the expense type is for general ledger accounts or requisition types.

You can save and assign expense receipts with or without coding. You should establish business rules, depending on whose job it is to code the expenses. Rules for selecting and amounts are the same as in all other eDoc transactions.

If the Expense Type was setup to monitor quantity, enter the quantity and eDocs extends the quantity and rate into the Value.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Date

Enter the date the expense was incurred.

Purpose

Enter the reason the expense was incurred.

Expense Type

Select that category that best matches what type of expense this is.

Value

Enter the value of the receipt.

Currency

The currency defaults to local currency for the company. You can select a foreign currency if this option is enabled on the expense item.

Merchant

Enter the name of the company that provided the goods or service.

Coding Comment

Enter a comment to explain how this expense should be coded — for example, On charge to client.

Tax Comment

Enter a comment to explain any special tax treatment for this expense — for example, 50% claimable.

Assign

Click this button to assign the receipt to someone else. This must be enabled on the status for the eDoc type. Do this to get approval or to pass to someone for coding.

Advanced

Click this button to change the document type or the company assigned to the receipt.
