AP Invoice Entry
Greentree calculates the estimated weight of an item when the line quantity is entered if:
- The Use in purchasing option is selected on the Inventory Module Control form.
- The unit of measure associated with an inventory line item is a weight.
- The Weight option is selected on the Unit of Measure Maintenance form.
For example, when a line quantity of 10 is entered, the Est Weight field (displayed at the base of the Data section of the Line Item form) updates to 15, which is equal to 10 x 1.5 (the weight assigned to the item on the Inventory Item Maintenance form). The Est Weight column in added to the table, displaying the same information.
Note: If the unit of measure applied to line is not the item's stocking unit of measure, and a conversion factor is set up, the unit conversion is applied to convert the line quantity into the item's stocking unit of measure first, and then the estimated weight is calculated.
If you save the invoice with no Actual Weight entered, the line value is calculated using the Estimated Weight. If you enter an Actual Weight for the line, the invoice line value is calculated based on this weight.
To enter an Actual Weight, click the Actual Weight button. The Actual Calculator form displays.
If the Inventory Module Control option Replace
line narration in AP with actual weights is selected, the line
narration updates when you enter the actual weights.
The Actual Weight value displayed
on the Line Item form and table reflects the running total calculated
the last time the Actual
Calculator was accessed, and details were saved. Each time you
access the Actual Calculator,
all details on the form clear, enabling you to re-enter individual weights.
Greentree Desktop
calculates a new running total. If you don't enter new details, the Actual Weight value doesn't change
from the last update from the Actual
Calculator.
The line narration always reflects the last
update from the Actual Calculator
(where individual weights were entered and saved).
You can change the Actual Weight
on the line. The narration does not update.
If you change the invoice line quantity after an Actual
Weight has been entered, the Actual
Weight field value does not update, and you must re-enter the details.
