Dimension-Only Item
For items that are dimension controlled only, enter dimension details against a transaction line before you can save a transaction (with some exceptions for sales and purchase order forms).
Greentree prompts you to enter dimension details when:
- A line quantity is entered for the first time.
- A line quantity is edited.
- A transaction is saved and dimension details have not been entered.
The Enter Dimension Details form displays. You can enter dimension details when you edit a line quantity, or when you click the Dimensions button on the Line Item tab.

- Enter transaction line quantity of 50EA (calculated as EACH - stocking unit of measure).
- The Enter Dimension Details form displays.
The form and column headings reflect the dimension type that is assigned to the line item — for example, the dimension type is Colour.
The Required quantity defaults from the transaction line quantity. This is converted into the stocking unit of measure if a purchasing or selling unit was used on the line, and an item-specific or generic unit of measure conversion applies.
As you enter dimension line quantities, the Entered quantity increments by each line quantity. You can only save the details (and the transaction) when the Required quantity equals the Entered quantity.
To add a dimension line, select a dimension from a dropdown list. The Qty Avail Units and UOM are read-only and reflect the current available quantities for the item and dimension combination
Note: If locations are in use, the quantity available uses the location that was entered on the transaction line.
You must enter the Qty Units, which is the number of pieces of the selected dimension. Greentree Desktop applies the dimension conversion to calculate and display, in read-only format, to the Qty UOM on the line.
Note: The Total units value on the form header updates with the number of pieces entered as each new line is added. Click OK to save the dimension details when the Difference is equal to zero.
Click Cancel when entering a transaction to close the form without saving changes. You can't save the transaction until you enter dimension details and quantities are validated.
Once the transaction is saved, the item parent and dimension quantities update. You can view them using the Location Balances by Dimension form.
Data Entry Variations
You can also use these Inventory Module Control options to enter dimension details for dimension-controlled items:
- Display all dimensions during data entry - If you select this option when the Enter Dimension Details form displays, it is pre-populated with all active dimensions associated with the item. You only need to enter a required quantity for dimensions. You can leave the quantity as zero if the transaction does not involve the dimension.
- Enable line quantity calculation/update
- If you select this option, you can determine the transaction line
quantity for a decreasing effect

The calculator converts units entered by dimension into a unit of measure total that can update the transaction line. Select this option if you are using dimension conversions, and know the unit quantities you are selling, but do not know how this translates into a unit of measure quantity to enter into the transaction line in the first instance.
