Transfers


Use this form to transfer all or part of an asset to a new or existing asset. You can use this form to transfer an existing group to the newly purchased group, so that all transactions, balances, and the like. are maintained under a single asset code.

The transfer to asset must be set up on the Asset Maintenance form to enable it on this form.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Reference

Enter a unique reference, up to 20 characters, to represent the transaction.

Date

This is the transaction document date. It defaults to today's date, but you can change it.

Current Period End

This is provided for information only and does not reflect the period that this transaction is being posted to.

Asset

Select the asset being transferred. You can enter a code or subcode using a forward slash (/) as a separator. You can also use the asset description to select the asset.

Percent

If you are not transferring all of the asset — for example, the asset code selected represents a group of assets — and you only want to transfer half of them, enter the transfer percentage (up to six decimal places). The Transfer Quantity and Book Value is calculated by Greentree Desktop, based on this percentage.

Note: Both the tax and accounting values are kept in sync with each other and the percentage, if the tax and accounting values are different, it may be that the exact value may only appear in one of the value fields.

Quantity

This field updates when the percent transferred is entered. If you enter 100%, the quantity displays in read-only format and represents the total quantity of the asset.

If the percent transferred is less than 100%, the quantity updates based on the percentage entered. You can enter the quantity if you know the exact quantity to transfer.

Greentree Desktop does not calculate this accurately using the percentage entered. This represents the quantity that are transferred from the From asset to the To asset.

Note: The total quantity of the asset displays in read-only format to the right of this field for your reference.

Taxation Book Value/Accounting Book Value

These fields update when the percent transferred is entered. If 100% is entered, the values display in read-only format and represent the current tax and accounting book values of the asset being transferred.

If the percent transferred is less than 100%, the values update based on the percentage entered. You can enter the quantity if you know the exact quantity to transfer.

Greentree Desktop does not calculate this accurately using the percentage entered. These values represent the value that are transferred from the From asset to the To asset.

Transfer To

Select the asset to transfer values or quantities to. You can use the asset code, subcode or description to select the asset.

Notes

This is for reference only. You can enter any notes pertaining to the transfer.

Narration

This is for reference only. You can enter a narration to add more detail about the transfer.

Balances

This is populated once an asset is selected and shows key balances and dates for the asset. When entering new transactions the balances are the closing balances (including futures) regardless of the transaction date entered. The date of the last transaction also displays. If you are recalling an existing transaction, the balances display at the date of the transaction to show the balances that the transaction was calculated against.

Click the Save icon or press F2 to save and create the transfer transaction.

If you try to save a transfer and the depreciation details assigned to the Transfer From and Transfer To assets are different, a warning will display.

You can Copy depreciation details from the From Asset to the To Asset, or to Save with No copy.

If the Transfer From asset and the Transfer To asset do not have the same number of depreciation rates, a warning message displays, but there will not be an option to copy the depreciation details from one asset to another.

Click Yes to save the transfer without copying depreciation details, or No to check the rates before saving.

You can view transfer transactions for each asset using the Transactions form. You can only view the original transaction by selecting the transaction reference on this form.

Note: You can edit or delete a transfer transaction only if no subsequent transactions have occurred for either asset.
