Viewing the Planner


After you set up the service request by the JC employee data provider on the Generic Planner, you have a visual representation of the service request schedule for each service person. The planner reflects service requests when they have been scheduled.

You can manipulate the planner by:

  • Editing a service request or job.
  • Creating a new service request (or job, employee, or account manager, depending on the data provider) by selecting the cells on the calendar section of the planner, then right clicking and selecting Create Service Request.

    Note: You cannot open the Service Request Maintenance form by double clicking on a cell in the Generic Planner.

  • Editing the service person on service request by dragging and dropping the request to another employee.
  • Editing the scheduled date and time by dragging and dropping the service request (or job) to another date and time slot or by extending/decreasing the right border of the request.

    Note: The estimated service time updates using the duration as selected on the planner.

  • Viewing the detail of the service request (or job) by hovering over the cell. A bubble displays, containing the summary detail of the service request, including Service Group and Person, Allocated Hours, Scheduled Working Hours, Elapsed Time, Job Code, and Description.
  • Clicking the interval header and right-click to access a Highlight option, which enables you to highlight a specific day on the planner. The Planner highlight maintenance form displays.

The date defaults to the date that was selected when the highlight feature was run. You can enter a description to indicate why the date is being highlighted. You can also select the colour to highlight the cell in.

When the planner displays, highlighted cells displays in this colour. To view the description of a highlighted field, hover the mouse over the column heading for the day. Use the Clear Highlight option to remove any highlighted days.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Change/View Details

This opens the Service Request Maintenance form for the service request on the planner so that you can view or change the details.

Copy

You can past the service request into any cell in the planner to create a similar service request for the selected date and time.

Push to Back/Bring to Front

Move a service request to the back or front on the planner display. When double bookings have occurred, you must push the top service request to the back to view the multiple service requests in the display. Double bookings display in bold on the planner.

Unschedule

If you select this option, the scheduled date and time on the service request become blank.

Unassign Service Person

Removes the service person from the service request. The service request is removed from the planner.

Unassign Service Group

Removes the assigned service group from the service request.

Unassign Service Person & Group

Removes both the service person and the service group from the service request. The service request is removed from the planner.

Note: The options available when you right click the planner depend on the data provider that is being used.

The bottom of the planner contains navigation controls for paging through the calendar. The date on which the planner display starts displays at the centre of the lower bar on the form. You can drill down on this date to select another start date.

These controls are available on the lower bar:

  • > - Page forward one unit at a time, depending on the time unit displayed (15 minutes, 30 minutes, hour, half-day, day, week).
  • < - Page backward one unit at a time, depending on the time unit displayed (15 minutes, 30 minutes, hour, half-day, day, week).
  • >> - Page forward one unit greater than the unit displayed at a time (for example, if the planner displays in hours, this moves forward by a half-day).
  • << - Page backward one unit greater than the unit displayed at a time (for example, if the planner displays in hours, this moves backward by a half-day).
  • T - Move to today.

Options

Click this button to access these options:

  • Review planner definition - This is enabled if the Planner Defaults setting Can Edit Definition is selected. Select this option to open the Workflow Desktop Designer form to enable you to maintain the planner settings.
  • Show 12 Hour - This is enabled if the current display time interval is 15 Mins, 30 Mins, or Hourly. If you select this option, the times are shown from 1 through 12 with am and pm as appropriate.
  • Show 24 Hour - This is enabled if the Planner Defaults setting Allow 24 Hour clock change is selected, and the current display time interval is 15 Mins, 30 Mins, or Hourly. If you select this option, the times are shown from 1 through 24.
  • Change Interval - Select this option to change the planner's default time interval.

Export Planner to Excel

Access the Planner Export feature by clicking this icon. The export prints the planner detail in Excel for the date range specified in the Planner Defaults (Start date, End date).
