File2Greentree


You can drag and drop a file to a Filing icon and choose to save the file as an attachment in Greentree Desktop.

The filing process is done using a web service. You must have a Console running before you can drag, drop, and file an attachment against a record..You can configure a Console from CRM > System Options > Inbound Filing. If you already have the Console, you do not need to configure and start another console.

The File2Greentree item is enabled through running the File2Greentree.exe in the \bin folder. File2Greentree.exe has a matching .ini file which contains the Greentree Desktop server details and the user's Greentree Desktop login name.

Note: File2Greentree does not load when you access Greentree. You must follow the activate steps to use this feature.

You must activate File2Greentree on each workstation from which to use this feature.

You can add File2Greentree to the Windows Send to menu so that you can right-click a file and send it to Greentree. Once active, the Filing icon displays.

Associated Functions

These functions are associated with the File2Greentree feature:

  • CRM > System > System Options > Inbound Files - System-wide inbound files setup for all users. This tab also contains a setting which can update to represent the minimum required version of the DLL. Greentree Desktop performs a check when using Inbound Filing to determine if an equal or later version of the DLL is in use.

    If so, Greentree Desktop continues with the Inbound Filing. If not, an error message displays and you must update the version of the DLL located in your Greentree Desktop \bin directory.

  • User Preferences > CRM > Inbound File - User-based inbound filing setup. If setup for a user, these settings change the Module Control settings above.
  • Relationships > Inbound Filing - This option gives access to the Inbound Filing form, which you can use to search on fully filed, partially filed, or unfiled inbound emails and inbound files that were not filed as attachments. You can drill down on an inbound file to open the File Inbound Email form, if you can file the email against a record in Greentree.
  • Workflow > System > Organise Desks - A new workflow toolbox items is available: File Inbound Emails. This workflow item is used to view all unfiled inbound emails and files. You can drill down on an email or file and access the File Inbound Email form which enables you to file the email or file against a Greentree Desktop record.

Processing

The steps involved in filing the Inbound Emails vary depending on the setup in System Options > Inbound Filing and User Preferences > CRM > Inbound File. If you select this option, the File Against dialog displays after you click the Greentree button in Outlook.

You must enter the context detail — for example, the lead that you want the email to be filed against.

Click the File button to push the file to Greentree. Greentree Desktop matches the File Against detail to contacts and Greentree Desktop records. If a match is found, the inbound file is attached to the record in Greentree Desktop.

If Greentree Desktop does not find a match, the inbound file is not filed. In this case, a message displays to inform the user that manual filing of the file is required.

You can access and allocate unfiled items on the Inbound Filing form or from the File Inbound Emails Workflow Desk item. The Inbound Filing form displays the detail of the file, the File Against detail that you can update to file the file with the records in Greentree, as well as the assigned user and team.

You can drag and drop multiple files on the Filing icon. The files are filed with the same record in Greentree.

If the File Against dialog is not enabled, then the file is not filed against a record in Greentree Desktop. A dialog displays informing you that you must file the inbound file using Relationships > Inbound Filing or from the File Inbound Emails Workflow Desk item.

If you select the a Confirm when re-filing option on the Inbound Filing and Inbound File tabs and you try to file the same email again, this message displays: File already exists within Greentree, do to file it again?
