Non Stock Code Maintenance
Use this form to set up and maintain non-stock codes for items or services you purchase from suppliers. If you are not using the Inventory module, you can use non-stock codes to analyse costs such as freight or insurance. Non-stock purchases can be made using the AP Invoice Entry form when the purchase order module is in use.
If you are using the Import Costing form, you can identify whether a non-stock code is used to apportion costs as additional charges on purchase orders, specify an apportionment method, and nominate the general ledger recovery account for the transaction.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Code
Enter a code to represent the non-stock purchase type, up to six alphanumeric characters.
Description
Enter a description for the code, up to 30 alphanumeric characters.
Purchase cost
Enter the default purchase cost for the item, relative to the currency displayed. This is the cost that defaults to non-stock code lines when entering a transaction.
For example, if you have a FREIGHT code, with a purchase cost of $50.00, the total value of the non-stock line FREIGHT entered in an AP invoice will equal $50.00 x the invoice line quantity. You can change the cost when you enter a transaction.
Tax code
Select a tax code to default to transaction lines for this non-stock code.
Note: The customer tax code overrides this for PO/AP NS transaction lines if assigned.
GL Expense Account
This is the general ledger accounts that update with the value of non-stock code lines entered when you enter a transaction debited for an invoice line, credited for a credit note line.
Account description
This is the general ledger account description of the expense account that updates when using this non-stock code.
Purchase orders
Click this button to open the PO Enquiry form, pre-populated with details of the selected non-stock code.
PO additional charge
Select this option if the non-stock code represents an additional charge that can be assigned on the Shipment Entry form when the Import Costing module is in use.
If you select this option, the Apportionment Details section displays on the form.
Apportionment Details
These details only displays if you are using the Import Costing module. The parameters entered determine how an additional charge entered into a shipment is to be spread across (apportioned) the shipment. Valid apportion methods are value, volume, and weight.
If you choose volume or weight, then this data must be specified for each inventory item using the Inventory Maintenance form so Greentree Desktop can determine the total volume or weight of the shipment. When a shipment is received into inventory, additional charges become a part of the updated inventory cost price, resulting in a more accurate recording of the real cost of purchasing items.
The Apportion Recovery Account is the account that is credited with the value of the additional charges when shipment lines are received. You can individual additional charge values in the general ledger.
If you select the option to Post additional charge variance to expense account, additional charge variance differences in value between the received value and the invoiced value is posted to the same expense account as defined for the non-stock code. If you do not select this option, enter a Variance account to which the value of any additional charge variance will be posted when the charge is invoiced.
Intrastat/EC Sales
These fields only display if the company is subject UK Intrastat and EC Sales reporting.
