Options Maintenance

Use the form to record or assign option details to inventory items. You can assign these options on four forms within this form:

Barcodes

You can only enter item barcodes if the option to Use Barcodes is selected in IN Module Control - Options. You can enter a unique barcode for an item, by unit of measure. For example, you can enter a barcode for a full carton quantity, and a barcode for an inner quantity.

You can specify that you want to use item barcodes as the priority search during transaction entry. This may be applicable if you know the barcode, but not necessarily the item code. When the barcode is entered and recognised by Greentree Desktop, the item code for it defaults to the transaction line

Information

The unit of measure of the barcode will also default to the transaction line. If the option Barcodes unique is selected in IN Module Control - Options, you cannot enter the same barcode twice.

If the item label printing feature is enabled, a unit of measure must be assigned to a barcode in order for the barcode to print on the item label (if applicable).

Inventory Code Alias (AKA's)

You can enter an alternative name and description for the inventory item. Alias codes are free-format, so you can enter anything you like. Use this feature to assign an alternative name to an item so that it is easier to look-up during transaction entry.

You can specify that you want to use item alias codes as the priority search during transaction entry. When the alias is entered and recognised by Greentree Desktop, the item code for it defaults to the transaction line. If the option Item Code Aliases Unique is selected in Inventory Module Control, you can't enter the same alias twice.

Substitute Inventory Items

You can specify items that can be used as a substitute for the selected item. Substitute items must be selected from a list of items that have already been set up in the Inventory Item Maintenance form. If you are entering a transaction and the Insufficient Inventory Available form displays, you can select a substitute item to replace the item that does not have sufficient inventory.

If you are using the Kitset module, one of the Transaction Entry Edit Options is to Allow Substitutions, which if selected, means that you can use substitute items when making up kitsets if there is insufficient inventory of specified component items.

Companion Inventory Items

You can specify companion items, which are items that are considered to be of the selected item in terms of selling to a customer. For example, if you are selling a television, you can consider that a television stand is a companion item. Companion items must be selected from a list of items that have already been set up in the Inventory Item Maintenance form.

If the Sales Order User Preferences option Enable companion item selection is selected, the user will be notified if companion items exist for line items as they are entered, and have the option to add companion items to the sales order or packing slip.

Information

If the Point of Sale Module is in use and the POS User Preferences for the user does not have the IN Maintenance option Options selected, this form will not be accessible for the user using IN Inventory Item Maintenance.
