Budget Year Maintenance

Use this form to create/edit details for a selected budget and year. It is accessed using the IN Budget Maintenance form.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

The Budget number and Description are read-only if you open this form from IN Budget Maintenance.

Combination

This field contains a dropdown list of combinations (based on sequence) for budget detail that already exists for the selected year. To edit existing details, a combination from the list.

To set up budget detail for a new combination, enter detail in these sections. Only once that detail is saved for a combination will that combination subsequently appear in the Combination list for selection to view or edit.

Sequence fields

These are mandatory field(s) and display using the sequence associated with the selected budget. Enter or retrieve the sequence component codes you are creating budget details for. The descriptions are read only.

Quantity, Value and Spread fields

You can leave these fields empty if you must enter budget figures. If you enter a value in any one of these fields, you must also enter a value in the other three fields.

Annual qty

Enter the total annual quantity that is being budgeted for the specified sequence combination. The quantity you enter will be spread over all the periods using the quantity spread factor selected.

Base value

Enter the base (unit) value applicable for the item. The value entered will have the value percentage applied to it to calculate the budgeted value for each period.

Qty spread % code

Enter or retrieve a Quantity Spread %.

% Value code

Enter or retrieve a % Value Code.

Total qty

This is a read-only field that updates using the sum of the Quantity column.

Total value

This is a read-only field that updates using the sum of the Value column.

Apply

Click this button to apply quantity, value and spread factors, and Greentree will populate the Quantity, Quantity YTD, Value, Value YTD columns in the table. You can change Greentree calculated Quantity and Value amounts if required, or enter them into the table.

If Quantity and Value columns are automatically-generated:

Quantity for each period:the annual quantity x the selected quantity spread factor for the period.
Value for each period:the base price x the period quantity x the selected value factor for the period.

Information

Editing an automatically-generated quantity or value overwrites it when you click the Apply button.

Graphical Detail

The right side of the form displays a graph to represent the Quantity and Value data for the selected budget combination. The graph is only visible once budget detail is saved and retrieved.
