This tab contains general settings for the General Ledger module.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Use batches
Select this option to use batch control when entering General Ledger and Cash Management (if the module is in use) transactions.
Allow duplicate receipt numbers
This option is enabled if batches are in use. Select this option to indicate that duplicate receipt numbers are allowed, as long as they are not for transactions belonging to the same batch. If the option is not selected, you cannot use the same receipt number across batches and an error message displays.
Use Masterfile Audits/Last Journal Number
Select this option to record audit trails for this module. If selected,this will record masterfile changes by user.
Default document number
Select this option to default document numbers during General Ledger Journal Entry. Select this option to enter a number into the next field to indicate the document. The number displayed increments to the next number used.
Calendar
Specify the calendar that determinesthe ageing and period end dates for the general ledger.
Hotprint Enabled
Select this option to enable the hotprinting of payment documents from the General Ledger Outwards Cash form to your local printer. This is option is enabled if the Cash Management module is not in use.
Maintain source tran tree postings
Select this option to synchronise general ledger journal lines and source document line items when tree branch reallocations are made using the Transaction Tree Assignment form.
Use Foreign Currency Rounding
Select this option if any rounding from foreign currency transactions, which are less than or equal to the Value up to amount, are adjusted into the control account. If deselected, the rounding always posts to the Foreign Currency Rounding account.
Value up to
Enter the maximum rounding amount to adjust into the control account.
FC Rounding Account
Enter the general ledger account to update with foreign currency rounding if Use Foreign Currency Rounding is not selected, or if it is selected and the rounding is greater than the Value up to.
Retained Earnings Account
Enter the general ledger account to update with the retained profit/loss. You can nominate only one Retained Earnings account for a company and it cannot contain wildcards.
If the Quad
Accounting function is in use, these options display on the form:
Use Multiple Retained Earnings
You can have multiple retained earnings for each logical company.
Mask
Enter the Quad account mask for the multiple retained earnings. The segment that represents the logical company will be masked and the remaining segments filled with the detail for the retained earnings account.
For example, assuming:
- Four segments
- Quad segment is the first segment
- Retained earnings natural account is 8020,
The mask could be:
*.SY.SLS.8020
Suspense Account
Enter the general ledger account to update if errors are encountered while posting to other accounts where transactions do not balance, or a valid account cannot be found. You can nominate only one suspense account for a company and it cannot contain wildcards.
Input Tax Account
Enter the general ledger account to update with tax on any purchases. This is referenced in a hierarchy to determine the account to which input tax values will be posted to. For transactions for a supplier, the supplier's tax control account is used first, otherwise this account is used.
For transactions that are not for a supplier (for example, Cash Management Payment), the input tax account of the bank is used first, otherwise this is the default account.
Output Tax Account
Enter the general ledger account to be updated with tax on any sales. This is referenced in a hierarchy to determine the account to which output tax values will be posted to. For transactions for a customer, the customer's tax control account is used first, otherwise this account is used.
For transactions that are not for a customer (for example, Cash Management Receipt), the output tax account of the bank is used first, otherwise this is the default account.
Remittance Address
This field enabled if the Cash Management module is in use.
The defaults are assigned in Cash Management Module Control.
Cheque Form
This field is enabled if the Cash Management module is in use.
The defaults are assigned in Cash Management Module Control.
