Calculate Depreciation
Use this form to calculate live depreciation for each asset based on the depreciation method and parameters assigned to those assets.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Run Date
The default value is the current period end date, but you can change it to either a mid-period date or to another period if the user can post to prior or future periods. If you enter a mid-period date, this is the Document and Posting date of the generated FA Depreciation transaction. Greentree still calculates depreciation for the entire period.
The text beside the Run Date indicates when depreciation will be calculated until. For example, if you enter a mid-period date as a run date, the depreciation is calculated until the last date of that period.
Description
This field defaults to the period and year of the Run Date, but you can change it. This description is visible on the Delete Depreciation form.
Asset Range
You can calculate depreciation for all assets, a single asset, or a range of assets.
Output Options
Select:
- Output to screen to view the depreciation in the JADE Output viewer.
- Output to file to save the information to a text file.
- Pre-validation to list assets that have been excluded from the depreciation run.
Click the Start button. When the process is complete, the automatically-generated batch number displays in the Generated FA Depreciation Batch field.
To view details of the depreciation transaction batch, print the FA Batch Edit Listing.
If the selected
range of assets to process includes any with a new rate to be applied
and the Based on current BV option
is selected, the process checks that depreciation is calculated
to the end of the previous rate's effective period. This ensures the true
current book values are calculated to apply new rates. If depreciation
has not been calculated to the previous rates's effective date, a warning
displays.
Click Print to print an Incomplete Depreciation List, listing assets that require depreciation to be processed to the end of the previous effective date before a new rate can apply.

- If the Fixed Assets Module Control option Post
Depn to Job Cost is selected, Greentree generates a job
disbursement transaction (to represent depreciation) and
updates the job assigned to the asset using Asset
Maintenance.
An error message displays and the depreciation process aborts if:
- Assets are incorrectly set up to post depreciation to jobs.
- The activity code from the fixed asset does not belong to the job's activity group.
- The fixed asset's work centre is invalid.
- If an asset is assigned a Daily depreciation frequency, and it was purchased in the current period, Greentree calculates depreciation using the number of days since the purchase date. Then, it calculates depreciation for the full period.
- You can delete depreciation transactions generated with this process using the FA Delete Depreciation process. You can only delete batches of the current FA period. You can also delete depreciation transactions only if no other transactions have followed for the asset.
- You can run FA Depreciation Schedules to view the output of this process. Cost & Depreciation Movement reports also output asset depreciation detail.
- You can view depreciation transactions for each asset using the Asset Maintenance - Transactions form.
