Defaults
This tab contains supplier default information, specifying settings that are applied during transaction processing and reporting.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Several of
the parameters default from Accounts Payable Module Control, but you can
change them for individual suppliers.
Branch
Select the branch the supplier belongs to. The branch filters the output of reports, and for determining general ledger accounts for AP transactions where wildcards are in use.
Currency
Select the currency code of the supplier. If this is different from the company's currency, you can enter transactions for this supplier in their foreign currency, and view balances in either the foreign or local currency.
Calendar
Select the calendar to summarise AP transactions by period, and to determine supplier aged balances.
Payment terms
Select the supplier's payment terms to determine the payment date that defaults to an AP Invoice for this supplier.
Discount type
Select whether to calculate any discount for this supplier based on the Dollar Value of the invoice, or as a Percentage of the Total invoice. If you select the latter option, an additional field displays. Enter the percentage of the discount in that field. The discount calculation takes effect during AP Invoice Entry.
Reporting Options
Remittance advice delivery method
Select the default method by which to send remittance advice to this supplier. This is applicable if the auto fax/email option is selected when you print remittance advice.
Remittance advice recipient
Enter the fax number or email address to which remittance advices for this supplier are sent if either Email or Fax was selected in the field above.
If the Print method is selected, this field
is cleared and disabled. If an email address is assigned on the Main
tab, it will default for email recipients. If a fax number is assigned
on the Main tab, it defaults for fax recipients.
Purchase order delivery method
Select the method by which you want to send purchase orders to this supplier. This is applicable if the auto fax/email option is selected when purchase orders are printed.
Purchase order recipient
Enter the fax number or email address to which purchase orders for this supplier are sent if either Email or Fax was selected in the Purchase order delivery method field.
If the Print method is selected, this field
is cleared and disabled. If an email address is assigned on the Main tab,
it defaults for email recipients. If a fax number is assigned on the Main
tab, it defaults for fax recipients.
Taxation Options
Using withholding tax
Select this option to deduct withholding tax (or PAYG tax for Australian sites) from payments. If selected, the Withholding Tax form becomes available for this supplier.
This option
doesn't apply if the company is subject to North American sales tax.
Tax type
Select the tax type to use as the default for this supplier during transaction entry: Exclusive or Inclusive. This determines how tax is calculated and displayed on the transaction line for the supplier. This option defaults to Exclusive for any supplier for a country using North American sales tax.
Tax code
Select a tax code to default to transactions for this supplier. If no tax code is assigned here, the tax code is taken from the masterfile associated with the line type (for example, from the item for an IN line) if one is assigned. Otherwise, the company tax code is used.
Tax number
Enter the supplier's tax reference number (for example: ABN for Australian sites, IRD number for New Zealand sites, Tax Registration number for USA sites). You can enter and save separating characters (such as hyphens), and they are stripped out by Greentree before verifying the number entered is valid.
1099 code
This field is enabled if the company is subject to North American sales tax. It is taken from Accounts Payable Module Control, but you can change it at the supplier level if the 1099 tax reporting code for the specific supplier differs from the company default. This is the 1099 tax reporting code that defaults to payment transactions of the supplier.
Has a parent account
Select this option if the supplier has a parent account for making payments, and select the parent supplier code. If a parent code is selected for a supplier, Greentree assumes all invoices of the child suppliers will be paid to the parent supplier specified here. This integrates with the Payment Selection process.
Pay invoices separately
This option is enabled if the Has a parent account option is not selected.
Select this option to make a separate payment for each invoice of the supplier. Greentree will create a single payment for each separate invoice, generating multiple payments for the supplier when a payment run is processed.
When payments
are created for a supplier with this option selected, Greentree cannot
include any unapplied transaction in the payment because it cannot determine
which specific invoice an unapplied credit relates to.
User buyer/recipient created tax invoices
Select this option for the supplier to create and print AP invoices to send to the supplier. This may be applicable for some industries, where the value of the supply is established by the recipient rather than by the supplier. If you select this option, for a supplier, you can print an AP invoice using a hotprint option or using the Reports > Accounts Payable menu.
You can select a hotprint invoice form specific to the supplier . Otherwise, this defaults to the form selected in Module Control.
If you select
this option, for a supplier, you can't save the supplier unless a valid
tax number is entered.
Advanced Reorder Details Table
The table at the base of the form only displays if the Advanced Reordering module is in use.
You can assign delivery methods, lead times and order cycles for specific suppliers. Default lead times and order cycles for delivery methods are set up in IN Delivery Method Maintenance. If you are using advanced reordering, you must assign at least one delivery method here.
Intrastat/EC Sales
These fields are only applicable, and only display, if the company is subject UK Intrastat and EC Sales reporting.
